Job summary

Calan, a Belgian family-owned real estate developer, is expanding its residential portfolio in Warsaw and seeks an experienced Project Manager to lead full lifecycle projects from acquisition to handover.

The role requires a degree in architecture/engineering, 10+ years PM experience in residential development, fluency in Polish and English, and strong stakeholder management. The position offers a B2B contract, direct reporting to the CEO, and performance bonus.

Qualifications

• University degree in architecture, civil engineering, urban planning, real estate development, or related field.
• Minimum 10 years of experience as a Project Manager within a residential real estate development company.
• Proven track record of managing multiple residential development projects simultaneously.
• Strong knowledge of Polish development, permitting, and administrative procedures (WZ, PnB, PnU, ZUD, utility conditions, ZRID procedures).
• Fluent Polish and English, both written and spoken.

Responsibilities

• Manage residential development projects through the full lifecycle from acquisition to handover and warranty.
• Coordinate architects, contractors, consultants, public authorities, and other stakeholders to ensure delivery.
• Prepare and manage schedules, budgets, risk assessments, and reporting.
• Supervise design development, unit mix optimization, site planning, and product positioning.
• Monitor permit timelines and obtain required decisions, approvals, and utility agreements.
• Lead tendering processes and contractor selection via technical and commercial evaluation.
• Monitor costs, budgets, and value engineering to hit financial targets.
• Oversee construction progress, contract administration, quality control, and schedules.
• Coordinate occupancy permit procedures and inspections; manage handovers and defects resolution.
• Support sales, marketing, and financing with technical input; maintain KPI reporting and regulatory compliance.

As the company continues to expand its residential development portfolio in Warsaw, we are currently looking for an experienced professional for the position of:

PROJECT MANAGER – RESIDENTIAL DEVELOPMENT

Location: Warsaw

Scope of Responsibilities

• Managing residential development projects throughout the entire project lifecycle, from acquisition handover through design, permitting, construction, handover, and warranty period
• Coordinating architects, consultants, contractors, public authorities, and other external stakeholders to ensure successful project delivery
• Preparing and managing project schedules, budgets, risk assessments, and project reporting
• Supervising design development, including apartment layouts, unit mix optimization, site planning, and product positioning aligned with market demand
• Monitor permit timelines and administrative processes, including obtaining all required decisions, approvals, and utility agreements
• Leading tendering processes and supporting contractor selection through technical and commercial evaluation
• Monitoring project costs, budgets, and value engineering initiatives to ensure financial targets are achieved
• Overseeing construction progress, contract administration, quality control, and project execution schedules
• Coordinating occupancy permit procedures and supporting official inspections
• Supervising apartment handovers, defect resolution processes, and ownership transfer documentation
• Supporting sales, marketing, and financing departments by providing technical expertise and project-related information
• Maintaining project documentation, KPI reporting, and compliance with internal standards and regulatory requirements

Requirements

• University degree in Architecture, Civil Engineering, Urban Planning, Real Estate Development, or a related field
• Minimum 10 years of experience as a Project Manager within a residential real estate development company
• Proven track record of managing multiple residential development projects simultaneously
• Strong knowledge of Polish development, permitting, and administrative procedures (WZ, PnB, PnU, ZUD, utility conditions, ZRID procedures)
• Experience coordinating architects, contractors, technical advisors, and public authorities
• Good understanding of construction costs, budgeting, value engineering, and residential product development
• Ability to optimize apartment layouts and residential product concepts based on customer needs and market trends
• Experience with sustainable building certifications such as BREEAM will be considered an advantage
• Fluent Polish and English, both written and spoken
• Strong communication, negotiation, and stakeholder management skills
• Proactive, solution-oriented, and highly organized approach to work
