Job summary

ERGO Technology & Services S.A. (ET&S) in Warsaw invites an experienced IT Project Manager to join the Operations Projects team.

You will lead IT Infrastructure and Operations initiatives across Data Centre, Cloud, Networks, Workplace, and Service Management, coordinating global stakeholders and vendors. The role requires 5+ years in delivering IT projects in dynamic environments, strong leadership and financial oversight, and willingness to travel internationally.

Responsibilities

• Run and manage multiple complex IT projects with a budget of approximately £1m – £2m.
• Ensure on-time delivery within budget and meeting requirements.
• Create a project charter with scope, budget, resources, and schedule.
• Drive delivery with compliance and production handover.
• Manage vendor relationships and resources.
• Act as the main contact for stakeholders.
• Identify risks and mitigate delays to keep projects on track.
• Monitor and report progress against milestones and budgets.
• Track costs (SOWs, contracts) and forecast accruals in SAP and Clarity.
• Coordinate documentation and governance approvals to align with schedule.

About the role

You will join Operations Projects team, which is responsible for delivering IT Infrastructure and Operations projects across Data Centre, Cloud, Networks, Workplace, Support, Service Management, Integrations, Facilities and Enterprise Architecture.

How you will get the job done

• running and managing multiple complex projects with a budget of approximately £1m – £2m and taking responsibility for their delivery using formal project management techniques as appropriate
• ensuring the projects are delivered on time, meet the business & technical requirements and delivered within the agreed budget. Projects will be internally resourced but may require third parties to be managed as part of the overall delivery
• creating a charter for each project based upon the agreed scope, defining the budget, identifying the resources, creating the schedule, outline the approach and suggesting the sequencing of work required to execute the project effectively
• driving the delivery of their projects with predictable consistency, efficiency and success, ensuring overall compliance with IT-internal requirements and smooth transition of the resulting solution into production
• managing vendor relationships and the effective utilization of resources on each project, minimizing use of external onshore and offshore resources, and ensuring the timely onboarding and offboarding of those resources when tasks are completed
• establishing and maintaining effective work relationships with all stakeholders and act as the key point of contact for the project
• identifying issues/risks, analysing options and managing impacts to mitigate project delays and taking appropriate action to keep the project on track, leveraging support from key stakeholders and/or management as required
• managing, monitoring and reporting progress against milestones and budgets, ensuring consistent and transparent communications are provided to Management and Executive Leadership
• ensuring that all project costs (actuals) are actively tracked and managed, including SOWs/Purchase Orders, contracts, internal resource assignments, and ensure accurate forecasts and accruals are maintained in SAP and Clarity
• coordinating the completion of all documentation, project plans, change requests, approvals, lifecycle steps and compliance gate requests in a timely manner to ensure the project continues to align with the agreed schedule

Skills and experience you will need

• fluency in English
• at least 5 years+ of experience in successfully managing the delivering of IT infrastructure, workplace or application projects within a technically complex and dynamic environment, ideally in a global Finance/Insurance or regulated industry
• strong management skills including project management, financial management, change management and facilitation
• ability to lead and direct the project under a unified project lens without compromising business outcomes and priority constraints
• excellent communication skills, strong experience in managing the diverging interests of various stakeholders
• ability to create meaningful reports and summarise project health status for stakeholder presentations
• ability to manage and track project costs and budgets to agreed baselines
• ability to drive a mixture of functional and geographic workstreams and co-ordinate step change delivery to the business in a unified way
• consulting and collaborative working style creating a culture of accountability and sharing
• being open to developing less experienced PM’s, of setting an example of behaviours and standards and helping build high performing teams
• willingness to travel internationally
