Job summary

CloudFerro is seeking a Payroll Expert to bring payroll operations in-house and lead development of modern HR/payroll processes. You will own the payroll lifecycle, optimise workflows, and drive automation across ERP Optima, PeopleForce and WEBCON.

The role requires experience with payroll, employment law, and collaboration with ZUS and tax authorities. We offer a hybrid, flexible work model and a comprehensive benefits package in Poland.

Qualifications

• Several years of hands-on experience independently managing payroll.
• Strong knowledge of employment law, payroll regulations, social security, personal income tax and the settlement of employment and civil-law contracts.
• Practical experience with ERP Optima. Experience in automating administrative, payroll or HR processes.
• Experience working with ZUS and tax authorities.
• Advanced Excel skills and confidence using HR and payroll systems.
• A proactive approach to process improvement and a strong aptitude for technology.
• Independence, accuracy and full ownership of your area of responsibility.
• An open and collaborative communication style.
• A university degree.
• A professional working proficiency in English.

Responsibilities

• Bringing payroll processing in-house and managing the transition from our external payroll provider.
• Independently preparing accurate and timely payroll in ERP Optima for employees, individuals working under civil-law contracts and other forms of engagement.
• Coordinating and ensuring the accurate settlement of B2B contractors in cooperation with the Accounting team.
• Verifying payroll input data and ensuring the accuracy of all calculations and settlements.
• Preparing HR documentation, agreements with B2B contractors and other types of contracts.
• Recording and settling working time and administering the leave-management system.
• Cooperating with ZUS, tax offices and other authorities on HR and payroll matters.
• Preparing payroll reports, analyses and cost summaries, as well as statutory declarations for ZUS, PFRON and tax authorities.
• Identifying opportunities to automate and improve HR and payroll processes.
• Co-creating and developing an integrated HR and payroll ecosystem based on ERP Optima, PeopleForce, WEBCON and other automation solutions.
• Monitoring changes in employment law, payroll, taxation and social security regulations and implementing them across the organisation.
• Contributing to HR and payroll procedures and providing day-to-day support to the Management Board, managers and CloudFerrians.

About the role:

We are looking for an experienced Payroll Expert to bring our payroll operations in-house and take ownership of developing modern HR and payroll processes across the organisation. This role is ideal for someone who combines strong expertise in payroll, HR administration and settlements with the ability to optimise processes and use technology to automate them.

We currently work with ERP Optima, PeopleForce (HRIS) and WEBCON. Our goal is to continue developing our HR and payroll environment, making it more transparent and user-friendly for CloudFerrians while increasing integration, automation and operational efficiency.

Key Responsibilities:

• Bringing payroll processing in-house and managing the transition from our external payroll provider.
• Independently preparing accurate and timely payroll in ERP Optima for employees, individuals working under civil-law contracts and other forms of engagement.
