Antal is seeking an Order Management Specialist with German to join our growing operations team in Warsaw. You will coordinate onboarding, manage product listings, and oversee order processing to meet customer requirements.

This mid/senior role requires 1–3 years in B2B customer operations, fluency in English and German, and strong organizational skills. The position offers hybrid work, private medical care, and development opportunities.

Qualificações

Responsabilidades

• Coordinate new customer onboarding, including vendor registration, documentation, and customer relationship management.
• Manage customer-specific product listings and ensure accurate product data and retailer compliance.
• Oversee order processing and fulfillment, ensuring orders meet customer requirements and train CSR team on procedures.
• Collaborate with Sales to coordinate replenishment plans, stock availability, and inventory allocation.
• Coordinate with 3PL providers and customers to resolve shipping issues and manage value-added services.
• Ensure accurate invoicing and compliant documentation per customer and country requirements.
• Monitor payments, assist in AR reconciliation, and resolve billing disputes.
• Identify operational challenges and support process improvements and customer inquiries.

Order Management Specialist with German- mid/senior

Responsibilities:

• Coordinate new customer onboarding, including vendor registration, documentation, and customer relationship management.
• Manage customer-specific product listings and ensure accurate product data and compliance with retailer requirements.
• Oversee order processing and fulfillment, ensuring orders meet customer requirements. Support and train the China-based Customer Service Representative (CSR) team on customer-specific procedures.
• Collaborate with Sales teams and customers to coordinate replenishment plans, stock availability, and inventory allocation.
• Liaise with third-party logistics (3PL) providers and customers to resolve shipping and fulfillment issues, coordinating value-added services such as co-packing, labeling, palletizing, and display assembly.
• Ensure accurate invoicing and compliant documentation in line with customer and country-specific requirements.
• Monitor payment statuses, support accounts receivable reconciliation, and assist in resolving billing disputes.
• Identify operational challenges, improve processes, and respond to customer inquiries while providing administrative and operational support to the team.

Requirements:

• High school diploma or equivalent.
• 1–3 years of experience in Customer Service, Order Management, or Customer Operations in a B2B environment.
• Understanding of order processing, logistics coordination, and customer requirements.
• Experience in FMCG, the toy industry, or working with major retailers is an advantage.
• Strong communication, organizational, multitasking, and problem-solving skills.
• Languages: Fluency in English & German is essential.
