Job summary

Philips in Poland is hiring a Order Management Specialist in a hybrid role combining end-to-end order management with automation and digital solutions. You will support hospitals in the Nordics by ensuring accurate order execution and proactive updates.

You will work with Sales, Logistics, Planning, Production, Finance and Automation teams, analyze KPIs, drive continuous improvements, and support Key Account Managers.

Qualifications

• University degree and 1–2 years in Supply Chain, logistics, sales support or related field.
• Fluent English.
• Experience with SAP or another ERP system.
• Excellent MS Excel skills (pivot tables) and proficient in MS Office.
• Openness to AI-enabled tools, automation, and new technologies.
• Proactive problem-solver with strong analytical and data-driven thinking.
• Strong communication and stakeholder management skills.
• Ability to prioritize, work under pressure, and maintain accuracy.

Responsibilities

• End-to-end Order Management for the Nordics region with accurate and timely order execution.
• Proactive monitoring and follow-up of orders and customer requests with clear status updates.
• Manage credit notes, billing disputes, and related financial corrections.
• Process and coordinate warranty claims and product returns.
• Provide direct customer support and act as trusted operational partner for customers.
• Support Key Account Managers with daily order-related activities.
• Monitor automated order processes and KPIs to identify trends and improvements.
• Drive continuous improvement initiatives to optimize processes and customer experience.
• Collaborate cross-functionally with Sales, Logistics, Planning, Production, Finance, and Automation.

Join our Order Management team in a hybrid role that combines end‑to‑end order management with hands‑on support for automation and digital solutions. This is a pivotal position supporting our partners, where you will help deliver critical Patient Monitoring solutions to hospitals across the region.

You are responsible for

• End‑to‑end Order Management for the Nordics region, ensuring accurate and timely execution of customer orders
• Proactive monitoring and follow‑up of orders and customer requests, providing clear and timely updates on order status
• Managing credit notes, billing disputes, and related financial order corrections
• Processing and coordinating warranty claims and product returns
• Providing direct customer support and acting as a trusted operational partner for customers
• Supporting Key Account Managers with daily order‑related and operational activities
• Monitoring and supporting automated order processes
• Analyzing order data and key performance indicators (KPIs) to identify trends and improvement opportunities
• Driving continuous improvement initiatives to optimize processes, reduce exceptions, and enhance customer experience
• Collaborating cross‑functionally with Sales, Logistics, Planning, Production, Finance, and Automation teams to ensure smooth order execution

You are part of the Hospital Patient Monitoring (HPM) Order Management team, working in a fast‑paced, collaborative, and international environment. The team focuses on efficiency, automation, and customer satisfaction while supporting critical healthcare deliveries across the region.

To succeed in this role, you’ll need

• University degree
• 1-2 years of experience within Supply Chain (especially Order Management), logistics, sales support, customer service or a related field
• Fluent English
• Experience with SAP (preferred) or another ERP system
• Excellent MS Excel skills (including pivot tables) and strong proficiency in other Microsoft Office applications
• Openness to working with AI‑enabled tools, automation, and digital solutions, and a willingness to adopt new technologies
• A proactive problem‑solver mindset with strong analytical and data‑driven thinking
• Strong communication and stakeholder management skills
• Ability to prioritize effectively, work under pressure, and maintain a high level of accuracy and attention to detail
• Good communication skills

Compensation & benefits

Doing meaningful work should come with fair, transparent rewards. The base salary range for this role isPLN 71,200.00 – PLN 94,933.33. We determine pay within the range using objective factors, like the skills the role requires, your relevant experience and the responsibility you'll have in this role, alongside internal equity and local market considerations.

This role is eligible for 10% short term incentive, with your rewards linked to company results. We’ll share the full approach with you during the interview process, so you can make a clear, informed decision.
