BCD Travel in Warsaw is seeking a Meetings & Events Project Manager at a level commensurate with experience. The role is hybrid with 2–3 days in the Warsaw offices, full-time, and involves managing complex meetings and events for global clients.

You will lead planning, vendor coordination, and client liaison, ensuring alignment with objectives, budgets, and timelines. English fluency and experience with life sciences or pharma clients are highly valued.

• Highly proficient in English
• Proficient in Microsoft Office; Cvent is a bonus

We are hiring multiple positions across our Meetings & Events team and welcome candidates with varying levels of experience. The final level and scope of responsibility will reflect your background, expertise, and demonstrated capabilities.

The Meetings & Events Project Manager is responsible for the development, planning, and overall operational execution of meetings, conferences, conventions, incentive travel programs, and special events for customers. The Meetings & Events Project Manager works on various programs simultaneously and serves as the day-to-day planning contact for each respective client. The Meetings & Events Project Manager is responsible for the day-to-day client contact and program planning functions, overseeing website development, attendee management, and final program billing.

What You'll Do

• Source and contract venues for local & global clients
• Work with client to develop, coordinate and implement travel program agendas and itineraries
• Develop and conduct site inspections as required and follow up with the site inspection notes, revised estimate budget, program itinerary, and timelines
• Negotiate and purchase ground transportation, entertainment, and decor elements via preferred vendors
• Act as the primary contact with the client , providing a consultative approach to program planning, ensuring the client has identified clear objectives for the meeting, conference, or program, and determining steps to achieve these objectives
• Prepare all documents related to the proposal, selected services, and execution
• Ensure timely post-event reconciliation, payment of vendors, and invoicing to clients

What You'll Bring

• A history of success in planning corporate meetings for a meetings management organization or travel management company, specifically with experience working with Life Sciences or Pharma Companies, where you have gained a thorough understanding of HCP-related compliance
• Highly proficient English language skills are imperative to the success of the role
• Skilled user of Microsoft Office, with experience in the use of Cvent being a bonus
• Systematic, meticulous, organized work
• You own the room and convey confidence, knowledge of best practices in meetings & events, and a professional presence as a first impression and ongoing
• Talented in managing multiple priorities and being adaptable. You have exceptional problem-solving skills, are calm under pressure, and work well in a collaborative environment
