Job summary

Brown Brothers Harriman in Kraków is seeking a Junior Transfer Agency Shareholder Service Representative to join our Transfer Agency team. You will process inquiries and support daily operations, helping ensure a high level of service for clients, investors, and internal stakeholders.

This role offers a hybrid work model (3 days in office, 2 days for a parent of a child up to 4 years old) and a path to develop knowledge in fund administration, SLAs, and reporting, with training and mentoring

Qualifications

• Bachelor's degree and/or equivalent work experience.
• English language at least C1.
• 0.5–2 years of experience in Transfer Agency, Fund Accounting, financial services, or related field.
• Strong client service orientation and willingness to learn.
• Attention to detail and accuracy.
• Ability to manage multiple tasks and priorities.
• Teamwork and collaboration under deadlines.
• Good verbal and written English communication.
• Knowledge of Microsoft Office (Word, Excel, PowerPoint).
• Knowledge of Transfer Agency systems or Multifonds is a plus.

Responsibilities

• Process inquiries within SLAs and ensure timely follow-up.
• Log inquiries in the database and track outstanding items with seniors.
• Assist with client reporting and daily operations.
• Support non-routine processing items and expedite as needed.
• Collaborate with Client Service Managers and Production Support on new initiatives.
• Prepare mailings and communications for recipients.
• Ensure fund prospectus requirements are followed in daily activities.
• Maintain accuracy and meet deadlines.

Join us as a Junior Transfer Agency Shareholder Service Representative!

Brown Brothers Harriman is currently recruiting a Transfer Agency Shareholder Service Representative to join our Transfer Agency team. In this role, you will be responsible for processing internal and external inquiries and supporting related activities for the funds for which BBH acts as Registrar. You will work closely with experienced team members, assisting with day-to-day operations and helping to ensure a high level of service for clients, investors, and internal stakeholders.

On this position you will be responsible for:

• Process inquiries within agreed internal and external Service Level Agreements (SLAs).
• Ensure inquiries are logged in the query management database and follow up on outstanding items under the guidance of senior team members.
• Assist with client reporting and other operational tasks.
• Support the handling of non-routine processing items and help expedite issues when appropriate.
• Cooperate with Client Service Managers and Production Support teams on new business initiatives.
• Prepare mailings and communications for internal or external recipients.
• Ensure fund prospectus requirements are followed in daily processing activities.
• Maintain a high level of accuracy and meet established deadlines.
• Follow established policies and procedures and raise opportunities for process improvements.
• Assist with month-end reporting activities.
• Develop knowledge of industry trends and participate in training sessions and presentations.
• Build effective working relationships with colleagues, clients, and other stakeholders.

What we’re looking for:

• Bachelor's and preferably Master degree and/or equivalent work experience.
• English C1
• 0,5–2 years of experience in Transfer Agency, Fund Accounting, Financial Services, or a related field.
• Strong customer service orientation and willingness to learn.
• Good attention to detail and accuracy.
• Ability to manage multiple tasks and priorities.
• Ability to work effectively in a team environment and under deadlines.
• Good verbal and written communication skills in English.
• Problem‑solving attitude and willingness to adapt to change.
• Good knowledge of Microsoft Office applications (Word, Excel, and PowerPoint).
• Knowledge of Transfer Agency systems, payment systems, reconciliations, or Multifonds would be an advantage but is not required.
