Job summary

HeadHR is seeking a proactive Project Coordinator to manage 1–3 IT projects for Polish and international clients under an experienced PM. You will serve as the client contact, define requirements, and document user stories while coordinating tasks in a hybrid Kraków-based role.

You should have 1+ year of coordination experience, strong organization, and bilingual Polish-English communication. Training and mentorship are provided, with opportunities to grow in IT project management.

Qualifications

• 1+ year of project coordination or related IT experience.
• Polish and English language proficiency (C1+)
• Familiarity with Agile and Waterfall methodologies; willing to learn best practices.
• Hands-on IT project development experience, preferably mobile projects.
• Direct client experience in international or cross-cultural settings.
• Interest in IT development and software project management.
• Availability to work from Kraków office as required.

Job description

Responsibilities:

• Oversee 1–3 small to mid-sized IT projects for Polish and international clients under an experienced Project Manager.
• Act as the client contact, support communication and build positive working relationships.
• Help define requirements and prepare user stories, basic project plans and other documentation.
• Organize project tasks and support alignment with Agile methodologies.
• Prepare reports, update documentation and support billing processes.
• Develop practical project management skills with mentorship and support.

Key requirements:

• At least 1 year of project coordination or related experience in a software house.
• Excellent organizational and multitasking abilities.
• Strong communication in Polish and English, minimum C1 in both languages.
• Basic knowledge of Agile and Waterfall and willingness to learn best practices.
• Hands-on experience with IT project development, preferably mobile projects.
