Job summary

Xceedance, a global provider of insurance services, seeks an experienced HR Operations Lead to manage end-to-end HR processes across nine European countries, including onboarding, contracts, payroll, benefits, and time & absence management.

You will partner with HR leaders, managers, and external vendors, drive process improvements, oversee payroll accuracy, ensure compliance, and lead a small team as the European HR operations scale up.

Qualifications

  • Minimum 5 years of experience in HR Operations, Payroll, or Shared Services across multiple European countries.
  • Strong knowledge of European employment practices, payroll processes, and employee lifecycle management.
  • Experience working with external payroll providers and benefits vendors.

Responsibilities

  • Lead end-to-end HR operations for the client with a presence across nine European countries, including onboarding, lifecycle changes, and offboarding.
  • Advise HR leaders, managers, Finance, and employees on policies, procedures, and regulations.
  • Prepare and manage contracts, references, and HR documentation for compliance.
  • Support recruitment activities through CV management and postings.
  • Build relationships with employees, stakeholders, vendors, and partners to ensure high-quality service.
  • Drive setup of HR operations for new European locations, including process design and onboarding.

Key Responsibilities:
  • Lead and manage end-to-end HR operations for the client with a presence across nine European countries, including onboarding, employee lifecycle changes, offboarding, compensation, benefits, and time & absence administration.
  • Act as a trusted advisor to client's HR leaders, managers, Finance teams, and employees, providing guidance on HR policies, procedures, and employment regulations.
  • Prepare and manage employment contracts, employment references, and other HR documentation for the client's workforce, ensuring accuracy and compliance with local requirements.
  • Support client's recruitment activities through CV management, job postings, and recruitment reporting.
  • Build and maintain strong relationships with the client's employees, stakeholders, vendors, and external partners to ensure effective delivery service and positive employee experience.
  • Lead the setup of HR operations for the client’s new European locations, including process design, documentation, stakeholder coordination, and employee onboarding.
  • Manage client’s HR systems, employee records, reporting, and workforce analytics while ensuring data accuracy and confidentiality.
  • Drive continuous improvement initiatives by reviewing processes, implementing new tools, and enhancing operational efficiency.
  • Lead and develop a team, support the wider HR organization, and provide expertise on European HR processes and practices.
Payroll & Benefits Responsibilities
  • Manage client’s payroll operations across nine European countries, ensuring accurate and timely payroll inputs and administration.
  • Process compensation changes, promotions, and other payroll-related employee updates for the client’s workforce.
  • Review and approve client’s payroll outputs prepared by external payroll providers, ensuring compliance and accuracy.
  • Partner with Payroll Specialists and external vendors engaged by the external client, to resolve payroll issues and maintain service excellence.
  • Administer employee benefits programs on behalf of the client and manage relationships with benefits and payroll providers.
  • Ensure the client's payroll, employment, and benefits processes remain compliant with local legislative and regulatory requirements across all supported countries.
  • Maintain accurate payroll and benefits records for the client's employees, support audits, and provide regular reporting and analysis.
  • Serve as client’s primary point of contact for payroll and benefits-related matters, driving process improvements and delivering a high-quality employee experience.
  • Provide leadership and oversight for payroll and benefits activities, ensuring effective collaboration between team members, external vendors, and key stakeholders.
Requirements

Requirements:

  • Minimum 5 years of experience in HR Operations, HR Administration, Payroll, or Shared Services environment.
  • Proven experience managing end-to-end HR processes across multiple European countries.
  • Strong knowledge of European employment practices, payroll processes, and employee lifecycle management.
  • Experience working with external payroll providers and benefits vendors.
  • Strong analytical and problem-solving skills.
  • Proficient Excel skills.
  • Very good command of English (minimum B2 level).
  • Interest in working in a dynamic, international environment.
  • Positive attitude and a great sense of humor (non-negotiable!)
  • Strong organizational skills, with the ability to manage your time effectively and take initiative.
  • Advanced proficiency in AI tools and framework.
