As a Customer Service Specialist, you will play a key role in the end-to-end order management process while also acting as a strategic partner to Sales, Production, Logistics, and external customers.
Your responsibilities will include both operational excellence and proactive collaboration to drive efficiency, customer satisfaction, and continuous improvement.
- Manage customer orders in SAP and the e-commerce portal: validation, entry, tracking, and fulfillment
- Ensure alignment of order details with commercial offers and SAP data (payment terms, pricing, Incoterms, delivery terms)
- Coordinate order planning with Production and monitor delivery timelines
- Advise on transport mode (FCL, LCL, FTL, LTL, Air) and calculate loading capacities
- Oversee preparation of transport and export documentation, including customs and dangerous goods (ADR/IMDG)
- Organize shipments and returns in coordination with warehouses and carriers
- Invoice goods and additional services; allocate and verify freight invoices
- Maintain close and professional contact with customers, keeping them informed on order status, deliveries, returns, and claim handling
- Support commercial teams by ensuring accurate pricing, master data updates, and responding to technical or offer-related inquiries
- OTIF tracking, and other performance-related analyses
- Collaborate with Purchasing and Supply Chain to forecast demand and ensure availability of custom or non-standard products
- Participate in internal projects and suggest process improvements to enhance service and efficiency
- Contribute to testing and implementing SAP improvements
- Ensure proper archiving of documentation and compliance with internal procedures
