Job summary

Calan in Katowice is seeking a Customer Service Specialist to be the day-to-day contact for our key accounts, coordinating with European offices to align priorities and deadlines.

You will execute orders and contracts, organize fleet maintenance, handle invoices, and support sales teams, while keeping records accurate and ensuring on-time delivery in a dynamic international environment.

Qualifications

  • Strong command of English (B2 or higher).
  • 1–2 years in customer service, order management, or logistics.
  • Analytical and written communication skills.
  • Ability to work independently across competing priorities.
  • Experience in international settings is a plus.

Responsibilities

  • Spotting friction early and raising it before it reaches the customer.

Customer Service Specialist | Katowice

This position sits exactly where those values meet the customer. A fleet only earns its keep when the equipment is where the customer needs it, in the condition the contract promised. We are looking for someone who owns that chain from end to end rather than passing it along — the person key accounts call because they know it will be handled, and the person colleagues across Europe rely on to close the loop.

Responsibilities

  • Acting as day-to-day point of contact for the company’s key accounts, from first request through to resolution.
  • Working hand in hand with the regional offices across Europe to keep information, priorities and deadlines aligned.
  • Executing orders and contracts, and making sure the commitments they contain are actually delivered — on time and to specification.
  • Organising and managing mobile repairs and the preventive maintenance programme for the fleet: scheduling the work, briefing providers, tracking jobs through to completion.
  • Issuing customer invoices and following through on billing queries until they are settled.
  • Supporting the local sales managers with the commercial and administrative work behind their accounts.
  • Keeping customer and fleet records accurate, so that everyone relying on them is working from the real picture.
  • Spotting friction early — a slipping deadline, a recurring fault, a query going in circles — and raising it before it reaches the customer.

Requirements

  • Strong command of English, B2 level or above — it is the working language with colleagues and customers across Europe.
  • 1–2 years of experience in a comparable role: customer service, order management, logistics coordination or fleet administration.
  • Well-developed analytical and communication skills, in writing as much as on the phone.
  • A habit of looking for the solution rather than reporting the problem.
  • Able to work independently and to organise your own workload across competing priorities.
  • At ease in an international structure, working with counterparts in several countries.
  • A further European language is welcome, though not required.
