We are seeking a detail-oriented and knowledgeable US Payroll & Benefits Specialist to manage end-to-end payroll processing and employee benefits administration for our US-based workforce. The ideal candidate must have strong expertise in US payroll regulations, multi-state labour laws, and statutory compliance related to benefits and leave management. This role requires accuracy, confidentiality, and the ability to handle complex payroll situations while ensuring compliance with federal and state guidelines.
Key Responsibilities
- Process bi-weekly/weekly payroll for multi-state employees in accordance with federal, state, and local regulations.
- Administer employee benefits including medical, dental, vision insurance, 401(k), and other retirement programs.
- Manage and ensure compliance with: Affordable Care Act (ACA), COBRA administration and continuation of coverage, ObamaCare requirements and reporting, 401(k) / End of Service Benefits setup, contributions and reconciliation, EEOC reporting and compliance requirements, FMLA administration including eligibility tracking, leave approvals and documentation.
- Maintain updated knowledge of labour and employment laws across multiple US states.
- Handle payroll adjustments, garnishments, deductions and tax withholdings accurately.
- Prepare and review payroll reports, audits and year-end processing (W‑2, 1095‑C, etc.).
- Coordinate with HR and Finance teams to resolve payroll discrepancies and ensure seamless payroll operations.
- Assist employees with payroll- and benefits-related inquiries in a professional and timely manner.
- Maintain accurate and confidential employee payroll records in compliance with company policies.
- Partner with benefits providers and brokers to ensure smooth benefits administration.
Qualifications & Requirements
- Bachelor’s degree in Human Resources, Finance, Accounting, Business Administration, or a related field.
- 3–5 years of hands‑on experience in US Payroll and Benefits administration (multi‑state experience preferred).
- Strong knowledge of ACA compliance and reporting, COBRA laws and continuation processes, ObamaCare regulations, EEOC reporting requirements, FMLA guidelines and administration, US Federal and State Labour Laws.
- Experience using payroll software such as ADP, Paychex, Gusto, Workday, or similar systems.
- Solid understanding of payroll tax regulations and reconciliation.
- High attention to detail with strong analytical and problem‑solving skills.
- Excellent communication skills and ability to handle sensitive and confidential information.
- Ability to work in CST time zone (or as per company requirement).
Additional Preferred Skills
- Certification such as FPC, CPP (Certified Payroll Professional), or SHRM‑CP/PHR is a strong plus.
- Experience managing benefits open enrollment periods.
- Knowledge of workers’ compensation processes and reporting.
- Familiarity with HRIS systems and data management.
