Job summary

GrowEdgeX Pvt Ltd is seeking an experienced Senior Payroll Specialist to independently manage end-to-end US payroll for our clients from Pakistan. You will ensure accuracy, compliance, and timeliness while communicating directly with client leadership.

You will handle weekly, biweekly, and semimonthly payrolls, tax withholding, garnishments, and year-end reporting, maintaining stringent records and SOPs to support a growing US client base.

Qualifications

• 7–10 years of hands-on US payroll experience.
• Hands-on Paychex experience.
• Strong knowledge of US federal and state payroll laws.
• Advanced Excel skills for reconciliations.
• Excellent written and spoken English; communicate with US clients.
• Ability to work independently with high accuracy.
• Willingness to work night shift aligned with US hours.

Responsibilities

• Process end-to-end weekly, biweekly, and semimonthly payroll for US clients.
• Review timesheets, hours, overtime, mileage, and reimbursements before processing.
• Maintain payroll records including new hires, terminations, pay changes, and deductions.
• Apply federal, state, and local tax withholding across multiple states.
• Handle garnishments, deductions, bonuses, and off-cycle payments.
• Run pre-submission checks and reconciliations to catch errors.
• Resolve payroll questions and discrepancies for employees.
• Document payroll policies and client-specific rules in SOPs.
• Communicate payroll updates with client owners/managers.
• Support quarterly and year-end reporting (Forms 941, 940, W2, 1099).
• Stay current on US payroll laws and compliance.

GrowEdgeX is a growing outsourcing company supporting US healthcare and staffing businesses with recruitment, payroll, bookkeeping, and operations services. We are looking for an experienced Senior Payroll Specialist to independently manage end to end US payroll for our clients.

About the Role

You will own the full payroll cycle for US clients, ensuring every payroll is accurate, compliant, and on time. This role requires strong attention to detail, deep knowledge of US payroll regulations, and the confidence to communicate directly with client leadership.

Key Responsibilities

• Process weekly, biweekly, and semimonthly payroll for US clients from start to finish
• Review and validate timesheets, hours, overtime, per visit pay, mileage, and expense reimbursements before processing
• Maintain accurate employee payroll records, including new hires, terminations, pay rate changes, and deductions
• Apply federal, state, and local tax withholding rules across multiple states
• Handle garnishments, benefit deductions, bonuses, and off cycle payments
• Run pre submission checks and reconciliations to catch errors before payroll is finalized
• Resolve employee payroll questions and discrepancies quickly and professionally
• Document payroll policies, procedures, and client specific rules in clear SOPs
• Communicate directly with client owners and managers on payroll updates, issues, and policy changes
• Support quarterly and year end reporting, including Forms 941, 940, W2, and 1099
• Stay current on US payroll laws and compliance requirements

Requirements

• 7 to 10 years of hands on US payroll experience
• Hands on experience with Paychex is required
• Strong knowledge of US federal and state payroll laws, including overtime rules and multistate payroll taxation
• Advanced Excel skills for reconciliations and audits
• Strong written and verbal English communication skills, with the confidence to work directly with US client owners and managers
• Proven ability to work independently with a high level of accuracy
• Willingness to work night shift aligned with US business hours

Preferred Qualifications

• Experience with ADP, or the ability to learn it quickly
• Payroll experience in home health care, healthcare, or staffing companies
• Experience with per visit or hourly caregiver and clinician payroll
• Experience with Gusto, Paylocity, or QuickBooks Payroll
• Bachelor’s degree in Accounting, Finance, or Business
• A US payroll certification (CPP or FPC) is a plus but not required
