AGAHE, Head Office Lahore, seeks an Operations Officer to support administration, program and field operations, ensuring deadlines are met and records are maintained. The ideal candidate holds a Master’s or Bachelor’s in Business/Public Administration or related field, with 1–2 years NGO operations experience.

Qualifications

  • Master's/ Bachelor's degree in Business Administration, Public Administration, Supply Chain or other related field from HEC recognized universities/Institutes.
  • At least 1–2 years of relevant NGO experience in Operations, logistics, Office Administration and Supply Chain.
  • Experience coordinating between Head Office and field teams.

Responsibilities

  • Coordinate daily operational activities between Head Office and field offices and support implementation of project workplans and organizational plans.
  • Coordinate office administration, logistics, travel, meeting arrangements, accommodation, transport, and event support including trainings, donor visits, board meetings, and management meetings.
  • Track office supplies, equipment and operational requirements as per stock register.
  • Maintain centralized filing related to administration, logistics and supply including fixed asset register.
  • Maintain communication with field offices and unit heads, coordinate field visits of management, donors, Govt officials and auditors, and report bottlenecks.
  • Support HR in staff coordination, trainings, and field movement as required.
  • Maintain a task tracker for management decisions, project deadlines, and departmental follow-ups and ensure timely follow-up.
  • Ensure effective management of office facilities, utilities, maintenance, security, and general services.
  • Coordinate vehicle management, including scheduling, logbooks, fuel, maintenance, and related documentation.
  • Ensure proper issuance, receipt, storage, and distribution of supplies and equipment to staff.
  • Ensure staff and office equipment safety and security as per policy and guidelines.
  • Perform any other operations and administrative duties assigned by supervisor.

JOB PURPOSE

The Operations Officer will support the smooth implementation of AGAHE's organizational, administrative, program, field, and compliance operations, ensuring that departments and field offices work in coordination, deadlines are followed, records are maintained and operational issues are reported and resolved on time.

KEY RESPONSIBILITIES
  • Coordinate daily operational activities between Head Office and field offices, and support implementation of project workplans and organizational plans.
  • Coordinate office administration, logistics, travel, meeting arrangements, accommodation, transport, and event support, including for trainings, workshops, donor visits, board meetings, and management meetings.
  • Track office supplies, equipments, and operational requirements as per stock register.
  • Maintain proper, centralized filing related to administration, logistics and supply including fixed asset register.
  • Maintain regular communication with field offices and unit heads, coordinate field visits of management, donors, Govt officials and auditors, and identify and report field-level bottlenecks.
  • Support HR in staff coordination matters, including arrangements for trainings and internal meetings, field movement as per organizational requirement.
  • Maintain a task tracker for management decisions, project deadlines, and departmental follow-ups, and ensure timely follow-up on tasks, decisions, and deadlines.
  • Ensure effective management of office facilities, utilities, maintenance, security, and general services.

QUALIFICATION & EXPERIENCE
  • Master's/ Bachelor's degree in Business Administration, Public Administration, Supply Chain or other related field from HEC recognized universities/Institutes.
  • At least 1–2 years of relevant experience in NGO in Operations, logistics, Office Administration and Supply Chain.
  • Experience working in a coordination capacity between Head Office and field teams.
SKILLS & COMPETENCIES
  • Strong Operations, logistics, Office Administration, security and Supply Chain skills.
  • Good command of MS Word, Excel, email, and basic office systems.
  • Ability to manage multiple tasks and competing deadlines effectively.
  • Good communication skills and the ability to work with cross-functional and field-based teams.
  • Understanding of safety, security, safeguarding and field operations.
  • Willingness and ability to travel to field offices when required.
ELIGIBILITY PREFERENCES

This position is open to all eligible candidates who meet the above criteria. Preference will be given to candidates with prior experience coordinating operations across Head Office and field teams in the NGO/INGO/UN sector.
