Key Responsibilities
Executive & Calendar Management
- Manage and maintain the CEO's calendar, including meetings, appointments, travel, and key business commitments.
- Prioritize meeting requests and ensure effective utilization of the CEO's time.
- Coordinate internal and external meetings with senior leadership, investors, partners, clients, and other stakeholders.
- Prepare meeting agendas, briefing notes, presentations, and supporting documents.
Strategic Coordination & Follow-Up
- Coordinate with department heads and leadership teams to track key business priorities and action items.
- Maintain follow-up trackers for decisions, commitments, and deliverables agreed upon during management and leadership meetings.
- Ensure timely follow-up and escalation of delayed or critical action items.
- Support the CEO in monitoring strategic projects and cross-functional initiatives.
- Prepare concise management updates and executive summaries for review.
Communication & Stakeholder Management
- Act as a key coordination point between the CEO’s office and internal/external stakeholders.
- Draft, review, and manage professional emails, communications, presentations, and official correspondence on behalf of the CEO when required.
- Coordinate communication with senior management and ensure timely responses to critical matters.
- Exercise a high level of professionalism, confidentiality, and discretion while handling sensitive information.
Meeting & Documentation Management
- Organize leadership, management, and strategic meetings.
- Prepare meeting agendas and ensure relevant stakeholders are aligned in advance.
- Record key decisions, action points, ownership, and timelines.
- Maintain an organized repository of important documents, reports, presentations, and meeting records.
Business & Operational Support
- Conduct basic research and analysis to support business discussions and decision-making.
- Assist in preparing executive presentations, reports, dashboards, and business updates.
- Identify gaps, delays, or dependencies in key initiatives and coordinate with relevant stakeholders for resolution.
- Support special projects and strategic initiatives assigned by the CEO.
Required Qualifications & Experience
- Bachelor's or Master's degree in Business Administration, Management, or a relevant field.
- 4–7 years of relevant experience as an Executive Assistant, Chief of Staff, Executive Coordinator, Management Associate, or in a similar role supporting senior leadership.
- Experience in a fast-paced technology, FinTech, e-commerce, logistics, consulting, or high-growth organization will be preferred.
- Experience working directly with C-suite executives or senior management is highly desirable.
