This role operates within the Health Data Monitoring and Reporting unit, supporting the Finance and Administrative Officer and National Finance Officer. The position is crucial for providing essential administrative and financial support to health projects managed by the PAF unit.
Job purpose: The Senior Administrative and Finance Associate is responsible for delivering comprehensive administrative and financial support services for health projects managed by the PAF unit. This includes meticulous processing of payments and invoices, diligent budgeting, ongoing financial monitoring, accurate reporting, and executing various finance-related functions. The role ensures the smooth financial operations of migration health projects, contributing to their effective management and reporting. The associate will support the Finance and Administrative Officer (MHD) and the National Finance Officer (Health Data Monitoring and Reporting) in achieving project objectives through robust financial administration and analysis.
Key responsibilities include generating and coordinating financial monitoring reports from WAVE, enhancing and standardizing financial reporting for large-scale migration health programs, and conducting qualitative and quantitative financial data analysis. The role involves assisting in the review and analysis of financial transactions and monthly performance, communicating findings, and following up with field missions. The associate will coordinate the preparation of monthly, quarterly, and annual financial reports for dissemination and submission to governance bodies. Responsibilities also extend to facilitating the maintenance and improvement of financial dashboards, supporting automation and data visualization. The role includes reviewing budget submissions, consolidating budget data, and contributing to the enhancement of financial tools and reporting systems using advanced Excel and Power Query. Maintaining SOPs, supporting project activation and closure, managing filing systems, and assisting with audit processes are also key duties. Additionally, the associate will support salary projectization, coordinate with Treasury and Revenue departments, provide guidance on financial processes, and collaborate with stakeholders to ensure alignment of financial reporting.
A Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is required, coupled with four years of relevant professional experience. Alternatively, a high school diploma with six years of relevant professional experience is acceptable. Accredited universities are recognized as per the UNESCO World Higher Education Database.
Required experience includes financial monitoring, reporting, budgeting, accounting, or auditing. Experience in maintaining dashboards using Power Query and other data tools is essential. Knowledge of and experience with migration health projects is considered an advantage.
Proficiency in accounting systems (e.g., SAP or ERP) and generally accepted accounting principles. Strong computer literacy, particularly in Microsoft Excel and PowerPoint. Good analytical and problem-solving skills with attention to detail. Excellent organizational and multi-tasking abilities.
