Manage general office administration and the daily running of the office
Allocate work across the administration team and coordinate the flow of work so jobs and
deadlines are met in the right order
Check the progress and quality of administrative work, and resolve problems as they arise
Maintain filing and archiving systems so documentation stays current and easy to find
Coordinate fleet administration, stock control and returns, and help organise team events
Complete electrical take offs from architectural and electrical plans, quantifying points,
fittings, switchboards, cable and conduit for each job
Produce the material list for each job from the take off, so crews arrive on site with what the job actually needs
Convert take off quantities into purchase orders and builder submissions, and keep the underlying rates current as supplier pricing moves
Check plan revisions and builder variations against the original take off, and update quantities, orders and pricing where the scope has shifted
Maintain take off templates for repeat house types and standard builds, so quantities stay consistent across volume work
Prepare and process documentation for new and existing jobs, including stock orders and invoicing
Enter and maintain job information in our company systems and keep records accurate as work progresses
Follow up outstanding quotes, purchase orders, invoices and builder requests through to resolution
Prepare and manage electrical compliance certificates and project paperwork
Archive completed works to the standard we need for our records
Own the underground connections process, tracking each connection from lodgement through to completion
Liaise with distributors, builders and site teams to keep connections moving, and raise delays early rather than late
Keep supervisors informed on connection status so site work can be scheduled around it
Order electrical materials, equipment and office supplies as required
Liaise with suppliers on pricing, availability and delivery
Escalate supply issues where lead times or pricing put a job at risk
Answer phone calls, emails and builder enquiries, giving informed answers on job status and process
Maintain strong working relationships with builders, clients, suppliers and distributors
Support supervisors and electricians with their administrative, product and stock requirements
Provide day to day direction and guidance to the administration trainee, teaching by instruction and demonstration
Train and support administration assistants, and act as the first point of reference on process questions
Contribute to a tidy, well run and positive office environment
Graduate of BS in Civil Engineering or Electrical Engineering or any related field.
Experience in electrical, construction or trade services administration
Confident picking up and working within job management, estimating or take off software
Experience preparing electrical take offs from plans and drawings
Clear written and verbal communication with builders, suppliers and site teams
Able to allocate duties and check the quality of work produced by others
Sound understanding of job documentation, purchase orders, invoicing and account reconciliation
Able to read and interpret architectural and electrical plans, drawings and specifications
With strong oral and written English communication skills
Can work office-based
