About the Role
The Service Coordinator will coordinate the day-to-day flow of client enquiries and operational jobs, from first phone contact through scheduling, field-team coordination, project tracking, reporting and invoicing readiness. You will use ServiceM8 to keep work accurate, visible and moving, while ensuring clients receive timely and professional communication throughout their engagement.
Reporting to the Operations Manager and General Manager, you will give the leadership team more capacity to focus on complex site work, client relationships and business growth. This role suits a confident, highly organised professional with excellent spoken English who is comfortable speaking with prospects and customers by phone, managing changing priorities and following work through to completion.

What You’ll Be Doing
- Respond to client enquiries by phone, email and website with clear, professional communication
- Speak with prospects and customers to understand their requirements and arrange next steps
- Use ServiceM8 to create, update and maintain accurate job records, schedules and workflows
- Schedule field teams, subcontractors
- Manage cleaner movements, schedule changes and delays, providing timely updates to partners and clients
- Monitor project progress, communicate schedule changes and follow up outstanding actions
- Maintain complete job documentation, including scopes, site notes, variations and completion details
- Prepare regular reports on workload, job status, response times and operational performance
- Support accurate invoicing by checking labour, materials, subcontractor costs and job variations
- Resolve routine client service issues promptly and elevate significant concerns
- Identify practical opportunities to improve scheduling, communication and workflow efficiency
- Send daily job allocations to cleaners in advance
- Prepare accurate weekly invoicing reports, including staff schedules, worked hours and total weekly hours
What We’re Looking For
Essential
- Experience working as an Independent Contractor for an Australian, American, British or similar international clients
- At least three years of experience in service coordination, operations support, property services, cleaning services, construction administration or a similar role
- Strong working experience using ServiceM8, including job creation, scheduling, job updates and workflow management
- Excellent spoken and written English, with confidence communicating with prospects and customers by phone
- Demonstrated ability to coordinate multiple jobs, competing priorities and changing schedules
- Strong organisational, time management and follow-up skills
- Experience maintaining accurate job information, client records and operational documentation
- Ability to prepare clear operational reports and work confidently with Excel or similar reporting tools
- Strong problem-solving, client service and conflict resolution skills
- Ability to work independently, take ownership and collaborate effectively with a wider team
Nice to Have
- Experience in cleaning, restoration, property maintenance, facilities management, construction, refurbishment or waste management
- Experience coordinating subcontractors, trades, waste removal providers or field-based teams
- Understanding of job costing, invoicing, variations and project profitability
- Experience using CRM, accounting or field service management systems alongside ServiceM8
- Experience preparing KPI dashboards, workload forecasts or operational performance reports
- Experience supporting projects involving sensitive client circumstances or complex property matters

Compensation Package
- ₱57,000 to ₱65,000 per month (depending on experience)
- Long-term, full-time Independent Contractor role
- Australian public holidays
- 12 days vacation leave per year
- 6 days sick leave per year
- ₱2,500 monthly health insurance allowance
- Fully remote, Monday to Friday, aligned with Australian business hours (with flexibility)
Lighthouse Property Care is based in Melbourne, Australia, thus the work hours will follow Melbourne time (GMT +10) with some flexibility.
