Job Summary:
The Service/Spare Parts Supervisor is responsible for leading and overseeing the end-to-end operational and administrative functions of the Service and Spare Parts departments. This role requires managing the complete spare parts lifecycle—from procurement (purchase request creation, forecasting, and pricing submission) to inventory management (receiving/shipping posting, cycle counts, and positive adjustments) and order fulfillment (Ecom and internal requests)
Job Responsibilities:
Daily Operations & Supervision:
- Systemic Data Management (ERP/CRM):
- Monitor, review, and finalize all relevant system postings, including Warehouse Shipment Posting and Warehouse Receipt Posting for received parts.
- Initiate Transfer Order Creation in Business Central, specifically managing spare parts processes via positive adjustments.
- Process Positive Adjustment Requests for spare parts when needed to rectify inventory records.
- Inventory & Procurement Workflow Management:
- Supervise all daily processing of Spare Parts Requests and perform direct validation of WMVT (Warranty/Manager Validated Transfers).
- Monitor the fulfillment of all incoming Ecom Spare Parts Orders to ensure timeliness and accuracy.
- Oversee the creation and routing of all necessary Purchase Requests, ensuring all signatory approvals are complete before forwarding to purchasing for PO creation.
- Manage the verification process for all Quotations, ensuring validation and completion by necessary signatories.
- Validation, Auditing, and Reporting:
- Verify and generate daily reports in Microsoft Dynamics 365 Business Central, specifically monitoring Warehouse Entries and Item Ledger Entries for the SVC-SPPA stream.
- Generate daily reports within Bitrix for the consistent tracking of service and overall operations.
- Perform auditing and validation on several critical reports, including checking Service Collection Reports, CSAT Reports, SDR (Service Delivery Report) documentation, and ensuring Replacement Job Order validations.
- Logistical & Technical Coordination:
- Review all generated Technical Reports, ensuring all necessary signatory completions are met.
- Lead supplier coordination through email, managing inquires regarding spare parts availability, requesting technical support (TS) and warranty reference (WR) documentation.
- Submit requests and analyze data regarding Spare Parts Landed Cost and SRP (Suggested Retail Price).
- Handle internal financial administrative tasks, specifically managing Revolving Fund Liquidation and Validation.
Minimum Qualifications:
- Preferably with a degree in Electronics & Communications Engineering, Business Management, or any other related 4-year course
- Must have at least three (3) years working experience in a customer service and technical environment
- Supplier/client relations exposure is a plus or experience with direct customer interaction is an added advantage
- Working experience in a service center - type business/ company is a plus
- Technical orientation and ability desired but not required
