Service Administrator

About the Role
We are seeking a highly organised and detail-oriented Service Administrator to support the service team with day-to-day administration, reporting, invoicing, and data management.
The role involves working with service jobs, customer work orders, invoices, and multiple systems, including simPRO. The ideal candidate is proactive, analytical, and comfortable managing multiple tasks while maintaining a high level of accuracy.
Key Responsibilities
- Compile and maintain Excel reports for open and aged service jobs.
- Assist with customer job performance and service reports.
- Review daily security patrol reports and match them with customer work orders and job numbers for invoicing.
- Gather information from multiple sources and accurately update the job management system.
- Create and update service jobs in simPRO based on customer work orders.
- Prepare and process invoices accurately and within required timelines.
- Reconcile job information and supporting documentation before invoicing.
- Perform accurate data entry and maintain organised records.
- Liaise with Service Coordinators and customers regarding new job requests and service updates.
- Access and update information through customer portals and various software platforms.
- Investigate discrepancies and resolve data or job-related issues.
- Provide general administrative support and assist with ad hoc tasks as required.
Requirements
Must-Have
- 2-3 years of relevant experience in service administration, administration, billing, invoicing, or a similar role.
- Hands-on experience with invoicing and invoice processing.
- Familiarity with simPRO is required.
- Strong proficiency in Microsoft Excel and spreadsheet management.
- Strong data entry and data management skills.
- Excellent attention to detail and accuracy.
- Strong problem-solving and data investigation skills.
- Good analytical and critical-thinking skills.

- Bachelor's degree in Business Administration, Accounting, or a related field.
- Experience working with Australian clients or businesses.
- Experience in security, facilities management, trades, construction, or service-based industries.
- Experience working with service management or job management software.
