Job Summary
The Senior Workforce Scheduling Specialist is responsible for developing, maintaining and optimizing workforce schedules while ensuring accurate timekeeping practices and staffing coverage across supported healthcare departments.
Operating within a Global Business Services environment, this role supports cross-functional collaboration, operational excellence and service delivery outcomes. The position serves as a subject matter expert for workforce scheduling and timekeeping processes, provides onboarding and mentoring support and partners with department leaders to improve staffing effectiveness and workforce planning.
What you’ll do
- Serve as a subject matter expert for workforce scheduling and timekeeping processes, providing guidance, coaching and onboarding support to team members
- Support the development of new associates through mentoring, knowledge sharing and best practice reinforcement
- Resolve complex scheduling and timekeeping inquiries and act as an escalation point for operational issues
- Collaborate with department leaders and internal stakeholders to forecast staffing needs and develop effective workforce schedules
- Create, maintain and update employee schedules within workforce management systems in accordance with organizational policies and procedures
- Review staffing requirements and ensure schedules align with anticipated patient volumes, operational demands and budget considerations
- Manage schedule requests including paid time off, schedule changes and employee preferences based on established guidelines
- Balance and publish schedules to achieve appropriate staffing coverage, skill mix and operational efficiency
- Assign roles and shift coverage based on department-specific requirements and workforce capabilities
- Identify staffing gaps and coordinate proactive scheduling strategies to minimize coverage risks
- Maintain accurate staffing data and monitor open shift requirements within scheduling systems
- Review, audit and maintain employee timecards to ensure accuracy and compliance with approved pay practices and organizational policies
- Investigate and resolve timekeeping discrepancies prior to payroll processing deadlines
- Prepare and distribute scheduling, staffing and workforce management reports for department leaders
- Develop and maintain standard operating procedures, workflow documentation and reference materials
- Support continuous improvement initiatives to enhance scheduling effectiveness, workforce utilization and service quality
- Participate in meetings, training sessions and organizational projects related to workforce management operations
- Provide support for workforce management system training and user adoption when needed
What you’ll bring
Experience
- 3 or more years of experience in workforce scheduling, staffing coordination or workforce management required
- Experience using workforce management and scheduling software required
- Knowledge of timekeeping, workforce planning and staffing operations required
- Experience supporting healthcare workforce operations preferred
- Knowledge of workforce analytics, staffing optimization and schedule forecasting preferred
Education
- Bachelor’s degree in Business Administration, Data Management or a related field required
Certifications
- UKG Workforce Management Certification preferred upon hire
- UKG Workforce Management Certification required within 12 months of hire
