Job summary

Elitez Pte Ltd is seeking a seasoned Project Coordinator to manage multi-stakeholder workstreams, track milestones and ensure timely delivery across projects. Qualifications

• Minimum 5 years of relevant working experience in project coordination or related functions.
• Experience in contract administration and vendor management.
• Experience coordinating projects with multiple stakeholders.
• Experience maintaining project documentation and trackers.
• Proficient in Microsoft Office applications, especially Excel, Word and PowerPoint.
• Strong written and verbal communication skills.
• Ability to manage multiple workstreams and deadlines.
• Ability to work independently with internal and external stakeholders.

Responsibilities

• Coordinate assigned project workstreams and track milestones, deliverables and timelines.
• Liaise with internal stakeholders, government agencies, suppliers and consultants on project-related matters.
• Coordinate vendor and consultant activities, including site inspections and visits sites.
• Manage the records management and archival workstream, including coordination of records acquisition and transfer with relevant stakeholders.
• Support the development, implementation and review of policies, procedures and guidelines for assigned workstreams.
• Maintain project records, documentation, trackers and filing systems.
• Support the tracking of vendor payments, billing and project budgets.
• Coordinate internal and external meetings and stakeholder engagements, including preparation of meeting materials, logistics and meeting records.
• Track meeting actions, project deliverables, risks, issues and dependencies, and follow up with relevant stakeholders on outstanding matters.
• Prepare project updates and relevant documentation for internal review.
• Provide administrative and coordination support for other assigned workstreams.
