Senior Marketing Automation & Web Specialist
The Senior Marketing Automation and Web Specialist will take ownership of the systems connecting websites, CRM, marketing automation, telephony, booking, and reporting platforms.
The role is a hands-on technical role responsible for ensuring that enquiries move correctly from website forms and advertising channels into the appropriate CRM pipeline, where they can be actioned by the correct team.
Responsible for HubSpot administration, marketing automation, integrations, WordPress development and maintenance, tracking and analytics, data integrity, and reporting.
Key Responsibilities
CRM and Lead Flow Management
- Own and maintain the complete lead journey from website or advertising enquiry through to the correct CRM pipeline and stage.
- Monitor lead flows and identify missing, duplicated, misrouted, or incorrectly attributed enquiries.
- Diagnose issues involving forms, field mapping, routing rules, integrations, duplicates, and data overwrites.
- Reconcile records between connected systems and investigate discrepancies.
- Maintain Hubspot properties, lists, forms, pipelines, lifecycle stages, permissions, and custom reports.
- Perform regular data hygiene, including duplicate management, field validation, data cleaning, and record correction.
- Provide first-line technical support to Patient Advocate and Patient Concierge teams.
Marketing Automation and Integrations
- Build, test, maintain, and troubleshoot HubSpot workflows and automated sequences.
- Develop welcome, nurture, reactivation, notification, and task-creation workflows.
- Configure enrolment criteria, branching logic, exit conditions, suppression rules, and workflow dependencies.
- Maintain integrations between HubSpot, websites, telephony, booking systems, advertising platforms, and other connected services.
- Work with APIs and webhooks by reviewing documentation, testing endpoints, interpreting errors, and correcting payloads.
- Monitor automation and integration performance and investigate failed processes.
- Maintain clear documentation for all workflows, integrations, and system logic.
WordPress Website Management and Development
- Maintain and update Wordpress websites for two brands.
- Build and modify landing pages, clinic/location pages, enquiry and booking workflows, filter, calculators, and third-party integrations.
- Develop website features rather than simply editing existing content.
- Configure forms with conditional logic and ensure submissions are correctly mapped into the CRM.
- Manage themes, plugins, updates, backups, security, and performance on a managed hosting environment.
- Evaluate whether new plugins or custom development are appropriate for a particular requirement.
- Implement technical website changes based on approved briefs.
- Apply technical SEO updates, including metadata, redirects, title tags, and page-speed improvements.
- Support website launches, feature releases, and troubleshooting while protecting lead capture functionality.
Analytics, Tracking and Conversion Management
- Configure and maintain Google Analytics 4 and Google Tag Manager.
- Implement conversion tracking, events, tags, and website tracking requirements.
- Configure and verify click-to-call and other relevant conversion points.
- Test tracking implementations to confirm that conversions are firing correctly.
- Investigate discrepancies between website, advertising, and CRM data.
- Ensure tracking changes are documented and reproducible.
Reporting and Data Management
- Prepare weekly and monthly marketing and CRM reporting packs according to an agreed schedule.
- Maintain KPI trackers and CRM-based dashboards.
- Extract and analyse data from HubSpot and related systems.
- Apply established counting and attribution rules consistently.
- Identify material changes or anomalies in reporting data and investigate the underlying records.
- Use spreadsheets to clean, reconcile, analyse, and validate datasets.
- Provide supporting record counts when reporting significant changes or discrepancies.
Technical Support and Continuous Improvement
- Identify potential system issues before they affect lead flow or reporting.
- Report suspected faults early and provide supporting evidence where available.
- Take ownership of technical issues through investigation and resolution.
- Clearly communicate technical risks, limitations, assumptions, and recommended solutions.
- Challenge requirements or proposed approaches when a better technical solution is available.
- Recommend improvements to systems, processes, automation, website functionality, and reporting.
- Maintain technical documentation so that systems can be understood and maintained by another team member.
Qualifications and Requirements
- 3+ years of experience in marketing operations, marketing technology, CRM administration, web operations, or a similar commercial systems role.
- Strong hands-on experience with HubSpot Marketing Hub.
- Strong WordPress administration and development experience.
- Working knowledge of HTML and CSS, with sufficient JavaScript knowledge to implement, read, and troubleshoot tracking or form scripts.
- Experience with CRM migrations, particularly Zoho CRM to HubSpot or similar platforms, preferred not required.
- Experience in healthcare, dental, allied health, or another regulated industry, preferred but not required.
- Familiarity with AI-powered lead handling, automated calling, conversational AI, or automated messaging systems.
- Ability to work independently from a short brief with minimal supervision.
- Willing and able to work on-site.
