Job description

The Senior Finance Officer is a senior technical and operational finance position responsible for end-to-end accounts management, review of finance work, recurring reporting, financial controls, workflow planning and day-to-day support to assigned businesses and clients. The role provides direct day-to-day oversight, coaching and performance support to Finance Officers assigned to their portfolio; develops and maintains finance project plans and reporting dashboards in Asana; uses Xero, WorkflowMax, Power BI and other approved business and client systems; and acts as an operational escalation point while remaining accountable to the Finance Team Leader.

Purpose of the Position

To ensure accurate, timely and well-controlled delivery of accounting services across assigned businesses by preparing and reviewing financial transactions, reconciliations and reports; supervising assigned finance employees; supporting their development and performance; and maintaining effective finance workflows, systems, dashboards, procedures and client service standards.

Key Responsibilities
Financial Operations and Accounting
  • Provide end-to-end accounts management for assigned entities using Xero cloud accounting software.
  • Coordinate, process and review payroll, accounts receivable, accounts payable, general ledger and other financial transactions for accuracy, completeness, appropriate approval and timely completion.
  • Prepare and review bank, balance sheet, payroll, supplier, customer and intercompany reconciliations and ensure reconciling items are investigated and resolved.
  • Support month-end and year-end close activities, including journals, accruals, prepayments, supporting schedules and account reviews.
  • Monitor aged receivables, aged payables, cash requirements and outstanding finance actions and follow up responsible stakeholders.
Leadership, Workflow and Team Support
  • Provide day-to-day supervision, technical guidance, coaching and quality support to Finance Officers and other team members assigned to the Senior Finance Officer's portfolio.
  • Hold regular workflow and development check-ins with assigned employees, clarify expectations, monitor progress against agreed objectives and document actions requiring follow-up.
  • Contribute to probation reviews, performance reviews and development plans by providing evidence-based feedback on quality, timeliness, capability, teamwork and achievement of assigned responsibilities.
  • Identify training, cross-skilling and succession needs for assigned employees and coordinate development actions with the Finance Team Leader.
  • Plan and allocate routine work across assigned businesses and clients in consultation with the Finance Team Leader, monitor workloads and deadlines, and ensure each employee has clear ownership of deliverables.
  • Review work prepared by Finance Officers and other team members, provide timely feedback and correction guidance, monitor recurring quality issues and identify capability or training needs.
  • Act as the first point of escalation for routine operational finance and employee workflow issues and elevate matters to the Finance Team Leader.
  • Act for the Finance Team Leader on defined operational matters when authorised or when the Team Leader is unavailable.
Financial Reporting and Business Support
  • Prepare recurring financial and management reports for assigned businesses, including supporting schedules and variance explanations.
  • Assist in preparing financial reports in accordance with applicable international accounting standards and organisational reporting requirements.
  • Maintain reporting calendars and ensure required information, reconciliations and reports are completed by agreed deadlines.
  • Provide timely financial information and explanations to business managers, clients and the Finance Team Leader.
Internal Controls, Compliance and Risk
  • Apply approved financial controls, delegations, documentation standards and approval requirements.
  • Identify errors, control weaknesses, unusual transactions and financial risks and recommend corrective action.
  • Maintain complete, accurate and audit-ready accounting records and supporting documentation.
  • Support internal and external audits, statutory reporting and compliance activities as directed.
  • Protect confidential financial, payroll, employee and client information.
Client and Stakeholder Service
  • Manage day-to-day finance communications for assigned businesses and clients and respond to routine accounting queries.
  • Follow up missing information, approvals and supporting documents in a professional and timely manner.
  • Build effective working relationships with colleagues, clients, suppliers and other stakeholders.
  • Communicate project and finance-related issues to the team regularly and elevate matters that may affect service delivery.
Systems, Process Improvement and Documentation
  • Use Xero, WorkflowMax, Power BI, Asana, Microsoft 365, Microsoft Teams, Adobe Pro and any other accounting, payroll, banking, project, reporting or client systems required by the business or its clients to meet agreed business and service requirements.
  • Develop, maintain and actively manage Asana finance project plans for assigned businesses and clients, including recurring workflows, milestones, dependencies, responsibilities, due dates, approvals and supporting records.
  • Document and maintain finance standard operating procedures, checklists, templates and work instructions.
  • Develop and maintain Asana dashboards and reporting views that monitor finance deadlines, workload, completion status, exceptions and other agreed service measures, and use Power BI or other approved reporting tools where required to provide financial and operational insights.
  • Provide regular workflow and dashboard reporting to the Finance Team Leader, highlighting overdue actions, capacity constraints, recurring errors, service risks and required management decisions.
  • Support implementation, testing and continuous improvement of finance systems, integrations and processes, including WorkflowMax, Power BI, Asana and client-specific platforms.
Qualifications and Experience
  • Bachelor's degree in Accountancy, Accounting or a closely related field.
  • Excellent written and spoken English communication skills.
  • Strong knowledge of accounting principles, bookkeeping procedures, reconciliations and financial reporting.
  • Advanced practical capability in Xero and strong capability across cloud-based finance, project and reporting systems, including WorkflowMax, Asana and Power BI, or demonstrated ability to rapidly adopt equivalent business and client platforms.
  • Preferably seven (7) or more years of relevant accounting experience, including responsibility for reviewing work, preparing reports or supporting less experienced team members.
  • Demonstrated experience managing multiple priorities and meeting tight deadlines with limited supervision.
  • Experience preparing monthly financial or management reports and supporting month-end close processes.
  • Experience applying financial controls and maintaining accurate, audit-ready records.
  • Demonstrated experience developing and managing project plans, recurring workflows and reporting dashboards in Asana or comparable project management software.
  • CPA qualification or progress toward a recognised professional accounting qualification.
  • Experience providing accounting services in a business process outsourcing environment.
  • Experience supporting Australian businesses or clients and working across multiple entities.

  • Is accountable for the day-to-day supervision, coaching, workflow delivery and documented performance feedback of assigned Finance Officers, but does not hold final authority for formal employment decisions, disciplinary action or overall finance-function accountability unless separately delegated.
