The Senior Executive - Logistics & Purchasing play a key supporting role in managing the flow of goods, materials, and services within an organization. This role ensures that procurement and logistics processes run efficiently, cost-effectively, and in full compliance with internal policies and external regulations — including import/export permits and government compliance.
They assist the department manager in overseeing supply chain operations, developing supplier relationships, coordinating shipments, and ensuring timely acquisition and delivery of materials. They also help ensure that all logistics activities meet required legal and regulatory standards, particularly concerning customs, permits, and international trade
Education:
Bachelor’s degree in supply chain management, Logistics, Business Administration, International Trade, or a related field.
Certifications such as CIPS, CSCP, CPIM, or Customs Broker License are an advantage.
Experience:
3-5 years of experience in logistics, procurement, or supply chain roles.
Hands-on experience with import/export regulations, permits, customs clearance, and government regulatory bodies.
Experience working with logistics service providers, freight forwarders, and customs brokers.
Technical Knowledge:
Strong understanding of local and international trade regulations.
Knowledge of customs documentation, import/export licenses, Incoterms, HS codes, and trade compliance requirements.
Familiarity with government portals for permits (e.g., FDA, DA, BOC, etc. depending on your country).
Skills:
Proficient in ERP and procurement systems (SAP, Oracle, etc.).
Advanced skills in Excel and data analysis.
Excellent negotiation, communication, and organizational skills.
Strong attention to detail and documentation handling.
Other:
Ability to manage multiple government permit applications.
Strong knowledge of environmental, health, and security regulations related to logistics and procurement.
Proficiency in English (and local language if required).

II. RESPONSIBILITIES AND FUNCTIONS
Develops proposals and specifications for purchases of goods and services.
Ensures all purchasing is performed with a strict adherence to current ethical Procedure.
Locates vendors of materials, equipment or supplies, and interviews them in order to determine product availability and terms of sales.
Maintains records of goods ordered and received. Prepares and processes requisitions and purchase orders for supplies and equipment.
Prepares the purchase requests with the requesters.
Analyzes purchase requests as per the procedure of purchasing.
Prepares purchase orders and ensures that the technical details and payment terms are clearly mentioned in the purchase order.
Checks, with the requester, the conformity of product/service purchased versus the purchase order.
Maintains and updates the list of approved suppliers.
Maintains and updates suppliers' records.
Manages the movement and storage of goods and services, ensuring they are delivered on time, safely, and cost-effectively.
Monitor incoming and outgoing shipments.
Tracks, traces, and updates the status of shipments.
Take care of the documentation involved in incoming and outgoing movement of goods.
Fills the delivery note and sends a copy to the accountant with the invoice.
Obtains and sees the appropriate use of equipment, facilities, and materials needed to do certain work.
Ensures the proper maintenance of the various machines and Equipment used throughout the corporation.
Coordinate activities of personnel engaged in buying materials, equipment, machinery, and supplies.
Keep immediate supervisor and designate others fully and accurately informed concerning procurement progress, including present and potential work problems and suggestions for new or improved ways of addressing such problems.
Follow-up regulatory relation officer to ensure that issuing CFPR, permits/LTO and other related documents is up to date and valid.
Performs other directly related duties consistent with the role and function of the classification.
Other duties as assigned.
