Job Description
The Sales Administrator plays a key role in supporting the sales department by ensuring accurate monitoring and documentation of product inventory, client payments, and reimbursements. This role maintains and updates essential databases for payments, inventories, and customer order forms while facilitating smooth coordination between the Sales, Logistics, Warehouse, and Accounting departments. The Sales Administrator is responsible for preparing sales invoices for client orders, verifying payment records, and assisting in order release activities to ensure efficient operations and the achievement of departmental goals and targets.
Responsibilities
- Receive and process purchase orders from clients accurately and promptly.
- Prepare and issue sales transaction invoices based on verified client orders.
- Verify order details, including customer information and payment status, before processing.
- Contact customers via phone or email to answer queries, obtain missing information, or resolve order issues.
- Maintain and update databases for payments, inventories, and customer order forms.
- Liaise with the Logistics and Warehouse departments to coordinate order release and other related activities.
- Align with the Accounting department for payment verification and reimbursement processing.
- Maintain and update sales and customer records in an organized and accessible manner.
- Compile monthly sales reports for management review.
- Expedite urgent or high‑priority orders through internal coordination.
- Direct customer feedback to relevant departments for resolution or improvement.
- Monitor product offerings and identify potential new products to add to the sales portfolio.
- Support the sales department with other administrative tasks as needed.
