Job summary

Expedock is seeking a detail-oriented Lettings Operations Assistant who will manage day-to-day enquiries, book viewings and guide applicants from first contact through to a signed tenancy across multiple cities. You will log inquiries in Gmail, Streak and Altido, identify high-value leads and ensure timely follow-up, while coordinating with local viewing staff and handling paperwork to keep momentum.

Qualifications

• Excellent organisational skills and a sharp eye for detail.
• Confident, friendly written and verbal communication, comfortable handling a high volume of enquiries.
• Ability to work through a structured daily task list while taking ownership of shifting priorities.
• Fast to pick up new systems (Gmail, Streak, Altido).
• Flexible to work variable hours during peak season, including some evenings and weekends.
• Proactive, can-do attitude and genuine interest in lettings and property.
• Strong ability to make sales calls to progress enquiries without fixed scripts.
• Experience in a lettings, sales, customer service or admin role (desirable).
• Familiarity with CRM systems such as Streak or property listing platforms (desirable).

Responsibilities

• Handle incoming enquiries from prospective tenants across email, phone and third-party platforms, logging them accurately in Streak and Altido
• Identify high-value and time-sensitive leads and ensure they're followed up quickly
• Progress leads through every stage, from enquiry to viewing, application and signed tenancy, chasing responses so momentum is never lost
• Guide prospective tenants through the contracting process, making sure paperwork is complete and nothing holds up a booking
• Make outbound calls to prospective tenants to generate sales, using a natural, conversational approach rather than a rigid script
• Monitor enquiries from third-party listing sites so they're picked up and actioned promptly
• Keep the inbox within agreed response time targets, escalating early if anything is at risk
• Book viewings through the online system, working closely with local viewing staff in each city
• Follow up after viewings, re-engaging no-shows and nudging anyone still making up their mind
• Process tenancy applications and paperwork through to offer stage, conduct Right to Rent and Anti-Money Laundering checks
