Qualifications
- 3-5 years of construction project management experience, including direct involvement in commercial construction projects with accountability for project oversight and analysis
- Demonstrated ability to manage or oversee multiple active projects and competing priorities
- Strong understanding of construction schedules, sequencing, subcontractor coordination, procurement, inspections, and field operations
- Ability to interpret construction drawings, project schedules, scopes of work, and supporting documentation
- Proven success in analyzing field progress, identifying project risks, and following issues through resolution
- Background in coordinating with field personnel, subcontractors, vendors, and clients
- Experience preparing client reports, leadership updates, meeting summaries, and action-item logs
- Analytical and critical-thinking skills, with sound judgment when working with incomplete information
- Excellent written and verbal English communication skills, including specific follow-up questions and concise, actionable updates
- Effective organizational skills, attention to deadlines, and consistent follow-through
- Capacity to work independently with ownership, urgency, and accountability
Technology Experience
- Experience with Smartsheet, familiarity with Bluebeam Revu, and proficiency in Microsoft 365
- Working knowledge of Microsoft Project or comparable scheduling software and familiarity with Slack
- Cloud storage experience, including Dropbox or comparable platforms
- Construction photo documentation experience, including SiteCam or comparable platforms
- Remote meeting platform experience, including Zoom or similar tools
- AI tool familiarity for analysis, documentation, reporting, automation, or workflow improvement
- Procore or comparable construction management platform experience is helpful but not required

What This Role Is Not
- An administrative assistant, data entry, or basic project coordination position
- A reporting-only role limited to recording updates, taking meeting notes, or documenting past activities
- Work that accepts unverified information or requires instructions for every follow-up action
- Field superintendent duties, although sufficient field knowledge is required to evaluate progress, sequencing, documentation, and risk
Responsibilities
Project Analysis and Oversight
- Review commercial construction projects for current status, upcoming work, pending decisions, and risks.
- Analyze schedules, updates, photos, meeting notes, and trackers to compare planned work with actual progress.
- Identify information gaps, inconsistencies, delays, unresolved issues, and unsupported completion claims.
- Clarify required actions, responsible parties, and deadlines through specific follow-up questions.
- Escalate significant risks early with supporting facts, impacts, and recommendations.
Schedule Management and Look-Ahead Planning
- Maintain schedules in Smartsheet or comparable platforms to reflect field conditions.
- Assess look-ahead schedules for missing activities, incomplete predecessor work, and sequencing issues.
- Detect conflicts across projects involving subcontractors, labor, equipment, inspections, deliveries, and shared resources.
- Confirm upcoming work has the required materials, personnel, approvals, access, and information.
- Support recovery or resequencing plans for delayed activities and planning beyond the current day and week.
Follow-Up and Accountability
- Track commitments, action items, decisions, and deadlines through completion.
- Coordinate follow-up with project managers, superintendents, field leads, subcontractors, vendors, and internal teams.
- Verify resolutions through documentation and confirmed completion dates.
- Document follow-up efforts, highlight unresolved issues, and ensure requested information is recorded and accessible.
- Recommend corrective action or training for recurring documentation, communication, or performance issues.
Field Photo and Daily Documentation Compliance
- Examine field photos and videos for consistency, quality, and adequate coverage.
- Request missing photos, videos, and daily updates, following up until received.
- Compare visual records with schedules and updates to verify progress.
- Validate documentation of deliveries, material pickups, completed work, changed conditions, and key events.
- Organize records to support client reporting, billing, and change orders.
Client and Leadership Reporting
- Prepare accurate weekly client reports covering completed, current, and upcoming work, schedule status, decisions, risks, and client actions.
- Select photos that clearly demonstrate progress.
- Produce leadership reports identifying projects that are on track, at risk, or delayed.
- Present issues with status, supporting facts, impact, required action, responsible person, and deadline.
- Verify report accuracy and communicate concerns early enough for corrective action.
Project Communication and Meetings
- Participate in or lead recurring project management and field team meetings.
- Review schedules, notes, updates, photos, and outstanding actions before meetings.
- Clarify progress, upcoming work, resource readiness, inspections, changes, and delays.
- Summarize outcomes and distribute action items with owners and deadlines.
- Align office and field teams through current information and professional, direct communication.
Risk, Change, and Procurement Tracking
- Monitor risks, changes, long-lead materials, procurement, inspections, RFIs, submittals, and client decisions.
- Flag potential change-order work and confirm documentation and communication.
- Evaluate schedule impacts from delayed decisions, procurement issues, subcontractor performance, and field changes.
- Verify material and equipment orders against required delivery dates.
- Follow up on quotes, proposals, and approvals, escalating delays before field operations are disrupted.
AI, Automation, and Process Improvement
- Use approved AI and automation tools for reporting, meeting summaries, schedule analysis, document review, and action tracking.
- Identify repetitive processes for standardization or automation.
- Develop templates, dashboards, checklists, prompts, and workflows with the team.
- Verify AI-generated information before distribution or use in project decisions.
- Improve Smartsheet workflows, reporting, and communication systems using recurring issues and lessons learned.
- Protect confidential company, employee, project, and client information on AI platforms.
