The role is part-time with Eastern Time hours, requires 2+ years in client services, hands-on TaxDome experience, and a meticulous approach to contracts, billing, and tax filings. A reliable VPN and fast internet are essential.

Qualifications

• 2+ years in client services, remote operations, or administrative roles.
• Hands-on experience with TaxDome or a similar CRM/workflow tool.
• Proven track record in direct sales and online community engagement.
• High attention to detail for contracts, billing, and tax filings.
• Reliable paid VPN and fast internet connection for secure access.

Responsibilities

• Lead client intake and onboarding, ensuring service agreements are signed and client portals activated.
• Act as CRM administrator: build, update, and monitor automated workflows and project pipelines.
• Monitor the client portal daily to acknowledge, organise, and process incoming files for the technical team.
• Draft and file Power of Attorney forms, handle compliance documentation, and process agreement renewals.
• Execute offboarding protocols including file archiving and disengagement communications.
• Maintain internal wiki pages and standard operating procedures.
• Conduct targeted, personalised outreach to prospective clients and collaborators.
• Manage inbound inquiries, make outbound sales calls, and convert conversations into booked consultations.
• Participate in relevant online communities to answer questions and build brand awareness.
• Respond to comments and messages in the brand voice to nurture leads toward booking.
• Help plan and promote digital events, webinars, and client appreciation initiatives.
• Generate client invoices, process payments, and track accounts receivable.
• Manage digital correspondence, client emails, and virtual phone inquiries.
• Prepare agendas for and lead weekly internal huddles.
• E-file personal and business tax returns and extensions, tracking status.
• Upload finalised returns to the client portal and address e-file rejections.
• Train internal team members on sending document signature requests.
