Job summary

Floor Plus More, Inc. in the Philippines is seeking an experienced Accountant to support the financial operations for a flooring retail and installation business.

You will maintain accounting records, monitor job costs, inventory, and vendor/payable processes, ensuring accurate project accounting. Collaborate with Sales, Operations, and Management to produce timely reports, improve gross profit, and uphold internal controls.

Qualifications

• Associate's or Bachelor's degree in Accounting.
• Must have accounting or bookkeeping and strong inventory management experience in the retail industry.
• Inventory management experience in a remote work environment is preferred.
• Experience with accounts payable, accounts receivable, general ledger accounting, and bank reconciliations.
• Strong understanding of job costing and gross-profit analysis.
• Experience with inventory and purchase-order processes.
• Proficiency with QuickBooks and Microsoft Excel.

Responsibilities

• Maintain accurate general ledger and accounting records.
• Prepare journal entries, account reconciliations, and month-end closing documentation.
• Reconcile bank accounts, credit cards, loans, and other balance sheet accounts.
• Assist with monthly financial statements, including Profit & Loss and Balance Sheet reporting.
• Maintain organized supporting documentation for financial transactions.
• Assist management with budgets, forecasts, and financial analysis.
• Maintain accurate job-cost records for flooring installation projects.
• Ensure materials, supplies, freight, installer labor, subcontractor charges, equipment, and other direct costs are assigned to the correct job.
• Compare estimated job costs to actual costs.
• Monitor gross profit and job profitability.
• Identify cost variances, missing costs, or expenses charged to an incorrect job.
• Review completed jobs for financial accuracy before final closeout.
• Provide management with reporting on job revenue, cost, gross profit, and gross-profit percentage.
• Reconcile flooring and installation-material purchases with purchase orders, receiving records, vendor invoices, and job documentation.
• Work with warehouse and operations personnel to help maintain accurate inventory records.
• Monitor materials transferred from store inventory to installation jobs to ensure they are properly documented and charged.
• Assist with inventory counts and reconciliation of discrepancies.
• Monitor returns, credits, damaged materials, excess materials, and returned from jobs.
• Review vendor and/or subcontractor invoices for accuracy and proper authorization.
• Match invoices with purchase orders, receipts, and job documentation when applicable.
• Ensure expenses are coded to the correct general ledger account and customer/job.
• Process vendor payments in accordance with company approval procedures.
• Reconcile vendor statements and resolve discrepancies.
• Maintain accurate subcontractor and vendor records.
• Generate and review customer invoices.
• Ensure deposits, progress payments, final invoices, credits, and adjustments are accurately recorded.
• Apply customer payments to the appropriate invoices and accounts.
• Monitor outstanding accounts receivable and aging.
• Follow up on past-due balances and assist with collection efforts.
• Research billing discrepancies and coordinate resolution with Sales and Operations.
• Help maintain controls for purchasing, purchase orders, material releases, installer payments, and job-cost allocation.
• Verify that required documentation and approvals are received before processing transactions.
• Help identify duplicate invoices, unauthorized purchases, missing documentation, or unusual job costs.
• Maintain strong separation and documentation of retail inventory versus materials consumed on installation jobs.
• The successful candidate is someone who doesn't simply enter transactions. We're looking for an accountant who asks why the numbers don't match and follows the transaction until the issue is resolved.
• Understand the relationship between sales, purchasing, inventory, installation, invoicing, collections, and profitability.
• Can identify when costs are missing from a flooring installation job.
• Are comfortable communicating with installers, project personnel, sales representatives, and vendors to resolve discrepancies.
• Understand the importance of accurate purchase orders and job-cost coding.
• Can manage multiple priorities and deadlines.
• Take ownership of reconciliations and follow issues through to resolution.
• Understand that accurate job costing is essential to knowing whether a project was truly profitable.
