A Real Estate Assistant provides administrative, operational, and client support to real estate agents, brokers, and the team. The role helps ensure that property listings, client communications, documentation, and real estate transactions are handled efficiently and accurately.
Client Communication: Respond to inquiries from buyers, sellers, tenants, landlords, and other clients through phone calls, emails, and messaging platforms. Coordinate appointments, property viewings, and follow-ups.
Property Listings: Prepare, update, and maintain property listings across relevant websites, social media platforms, and internal databases. Ensure that property information, photos, pricing, and availability are accurate and up to date.
Transaction Support: Assist with the preparation, organization, and processing of documents related to property sales, purchases, leases, and other real estate transactions. Coordinate with clients, agents, brokers, and other parties to ensure requirements are completed on time.
Scheduling & Coordination: Manage calendars and schedules for property viewings, meetings, inspections, client appointments, and other real estate activities.
Lead Management: Receive and organize inquiries and leads, maintain client databases, record follow-ups, and assist real estate agents in tracking prospective buyers, sellers, tenants, and landlords.
Administrative Support: A Prepare reports, presentations, correspondence, forms, and other documents as needed. Assist with day-to-day administrative tasks to support the real estate team.
Document & Record Keeping: Maintain organized and accurate digital and physical records of clients, property listings, contracts, transaction documents, and other real estate-related files.
Marketing Support: Assist in preparing property marketing materials, social media posts, listing descriptions, brochures, and other promotional materials.
Coordination with Third Parties: Communicate and coordinate with property owners, developers, banks, lawyers, contractors, photographers, and other service providers when necessary.
Education: A college degree in Real Estate Management is highly preferred. Graduates of Business Administration or other related fields are also encouraged to apply.
Experience:
Fresh graduates: Applicants who graduated with a degree in Real Estate Management may be considered for the position even without prior work experience.
Other degree holders: Applicants with a degree in another field should have 2-3 years of relevant experience in real estate, leasing, property management, or administrative support.
Technical Skills: Proficient in Microsoft Office, particularly Word and Excel.
Communication Skills: Strong verbal and written communication skills, with the ability to communicate professionally with tenants, vendors, and property managers.
Organizational Skills: Highly organized, detail-oriented, and capable of managing multiple tasks, deadlines, and property-related records.
Problem-Solving: Able to identify issues, coordinate appropriate solutions, and follow through on tasks with minimal supervision.
