What is the job?
The Quality Management Specialist is responsible for supporting the Quality Management (QM) department in maintaining accreditation standards, improving operational efficiencies, and ensuring the accurate documentation of key processes. This position plays a critical role in coordinating monthly and quarterly reports, reviewing policies and procedures (PPDs), assisting in audits, managing satisfaction surveys, and supporting the accreditation process.
Responsibilities:
- Sends communication and meeting requests for monthly and quarterly reports to the QMC and managers.
- Collects detailed and accurate notes during QMC meetings and prepares minutes and action item summaries. This includes reviewing meeting recordings to ensure all presented information is accurately documented.
- Reviews and retains meeting agendas, minutes, and materials to ensure accreditation standards are met.
- Proactively identifies operational inefficiencies and intra-departmental inconsistencies, and suggests improvements.
- Collects and reviews Key Indicators of Service Reports (KISR) including analysis memos from all applicable departments to ensure they are received timely, results and analyses are consistent and accurate, and reports are formatted appropriately.
- Assists with reporting automatic call distribution (ACD) data collected from the Customer Communication Management (CCM) system.
- Assists with compiling and validating complaints, appeals, and inquiries for QMC review.
- Assists with managers tasked with Quality Improvement Projects (QIPs) to ensure accurate documentation, progress, and follow-through.
- Creates meeting materials and distributes KISRs to the QMC and managers for review.
- Assists with the review and maintenance of company policies, procedures, and documents (PPDs); including drafting, revising, submitting, tracking, finalizing, and distributing PPDs; the annual review process; and ensures only approved versions are in use.
- Creates or revises QM departmental PPDs.
- Notifies affected department managers of approved PPDs upon Senior Management approval.
- Verifies that any PPDs affected by submitted materials are revised timely and appropriately.
- Ensures PPDs and workpapers are maintained and filed in accordance with departmental and Company P&P.
- Maintains an accurate index of current, archived, discontinued, transferred, and renamed PPDs.
- Assists with member, group and provider satisfaction surveys including preparation, dissemination, results collection, documentation, data retention, and reporting.
- Reviews and audits department training files, Quality Management Committee materials, websites, and other information monitored by the QM Department. Communicates with department managers to ensure ongoing meetings are held and documentation is retained.
- Reviews and audits provider credentialing files.
- Assists with the coordination of the accreditation process to ensure the organization achieve and maintain accreditation as required.
Qualifications:
- At least two (2) years of experience in quality management, administrative healthcare operations, role or a related field.
- Quick learner, flexible, and able to work independently and collaboratively in a team environment.
- Strong analytical, customer service, organizational, problem-solving, time management, and verbal and written communication skills.
- Clear and coherent in both written and verbal communication skills with the ability to effectively present information, write clear reports, and respond to both internal and external customers in a professional manner.
- Strong project management skills, including the ability to manage multiple tasks, timelines, and deliverables effectively.
