The QMS (Quality Management System) Assistant for the Legal Department plays a specialized role in ensuring that all legal administrative workflows, corporate compliance tracks, and documentation routing frameworks strictly adhere to corporate Quality Management System standards. This role bridges legal administration with corporate governance by monitoring internal legal processes, tracking non-conformities, updating documentation logs, and supporting both internal and external quality audits. The Assistant ensures that the department's operational pipelines—such as contract lifecycles, regulatory submissions, and corporate filings—are consistently executed with optimal procedural precision.
Key Responsibilities
- QMS Documentation & Maintenance: Maintain and update the Legal Department's Quality Management System manuals, work instructions, and documented procedures to ensure absolute alignment with corporate quality benchmarks.
- Audit Support & Compliance: Assist in coordinating and preparing required documentation for regular internal and external QMS audits, ensuring all legal records are orderly, accessible, and audit-ready.
- Non-Conformity & Corrective Action Tracking: Monitor, log, and track corrective action requests (CPARs) and process non-conformities within the Legal Department, following up with task owners to ensure timely resolution.
- Process Cycle & SLA Monitoring: Track operational metrics, documentation turnaround times, and contract routing speeds, compiling baseline analytics to identify system bottlenecks.
- Legal Records & Database Management: Manage a highly secure, centralized digital and physical archive for executed corporate agreements, boards memos, and compliance permits in strict compliance with documentation controls.
- Confidentiality & Data Privacy: Handle highly sensitive corporate agreements and data with strict discretion, ensuring full adherence to standard company ethics, data storage policies, and data privacy laws.
Qualifications
- Technical Knowledge: Basic to solid understanding of Quality Management System principles (such as ISO 9001 frameworks), documentation control mechanisms, auditing workflows, and legal administrative structures. High proficiency in office productivity suites (MS Word, Excel) for managing trackers.
- Behavioral Competencies: Exceptional structural organization, high attention to process details, objective analytical thinking, strong coordination skills, and a high level of integrity when dealing with confidential legal materials.
- Job Requirements: Bachelor’s degree in Human Resource Management, Legal Management, Business Administration, Industrial Engineering, or a related field. Possesses at least 1–2 years of experience handling QMS coordination, compliance documentation, or process auditing—ideally within a corporate legal or corporate governance department. Open to high-performing fresh graduates who have completed substantial internships in QMS, corporate compliance, or legal operations.
