Job description

The Purchasing Specialist is responsible for sourcing, evaluating, and coordinating with potential vendors and suppliers to ensure the timely procurement of quality materials and services at the most competitive prices. This role involves negotiating terms, managing purchase orders, monitoring deliveries, and maintaining accurate procurement records. The Purchasing Specialist also ensures received goods meet company standards and oversees the return process for any defective items.

DUTIES AND RESPONSIBILITIES:
Vendor Management & Sourcing
  • Research and identify potential vendors and suppliers.
  • Compare and evaluate quotations, proposals, and supplier capabilities.
  • Build and maintain strong relationships with suppliers to ensure reliability and quality of service.
  • Attend trade shows and exhibitions to stay informed about market trends and new suppliers.
Procurement & Negotiation
  • Negotiate contract terms, pricing, and payment conditions to ensure favorable agreements.
  • Prepare and issue Purchase Orders (POs) in accordance with company policies and procedures.
  • Track and monitor order status to ensure timely delivery of goods and services.
Quality & Inventory Control
  • Review and verify the quality and accuracy of received goods.
  • Coordinate with warehouse staff to confirm items are in good condition and properly stored.
  • Manage the return process for defective or non-conforming items.
  • Monitor stock levels and place replenishment orders as needed.
Documentation & Reporting
  • Enter order details (e.g., vendors, quantities, prices) into internal databases.
  • Maintain updated and organized records of purchases, delivery information, and invoices.
  • Prepare and analyze reports on purchases, costs, and supplier performance.
  • Ensure all purchasing activities comply with company policies and regulatory requirements.
Other Duties
  • Assist in resolving any discrepancies in purchase documentation or deliveries.
  • Perform other job-related tasks as assigned by the superior or required by the company.
  • Adhere to company rules, regulations, and ethical procurement practices as specified in the Company Handbook.
Qualifications:

Education: Bachelor’s/College Degree in any field.

Experience: Minimum of two (2) years of related work experience.

Preferred background: Experience in food manufacturing or technical procurement (machinery, parts, materials).
