Key Responsibilities
Tenant Management and Relations: Handle tenant inquiries, complaints, and communications (via email, phone, or messaging apps). Screen and select tenants, conduct background checks, and build positive relationships to improve retention and satisfaction.
Rent Collection and Financial Management: Collect rent, association dues, and other fees on time. Issue invoices, reminders, and handle delinquent accounts (including payment plans or legal actions like eviction if needed). Prepare and manage property budgets, financial reports, and expense payments (utilities, maintenance, etc.). Maximize occupancy rates and property income while minimizing losses.
Property Maintenance and Operations: Coordinate routine and emergency repairs, maintenance, and upgrades (e.g., plumbing, electrical, landscaping, aircon servicing). Conduct regular property inspections to ensure safety, cleanliness, and compliance with standards. Oversee contractors, suppliers, and on-site staff (e.g., security, janitors, maintenance teams).
Lease Administration: Prepare, negotiate, and enforce lease agreements or rental contracts. Handle renewals, terminations, and move-ins/move-outs. Market vacant units through listings on websites, social media, or other channels.
Legal and Regulatory Compliance: Ensure adherence to Philippine laws, including the Rental Reform Act, Building Code, fire safety regulations, HLURB/DHSUD guidelines (for condos), and local ordinances. Manage permits, insurance, and documentation.
Emergency Response and Risk Management: Respond to emergencies (e.g., floods, power outages, security issues) and implement safety protocols.
Reporting and Strategy: Provide regular reports to property owners, landlords, or the Board of Directors (BOD) on financials, occupancy, and operations. Recommend improvements to increase property value or efficiency.
