SmartScale360 is seeking a Property Management Specialist to support our U.S.-based property operations. This remote role handles daily management tasks to ensure smooth operations and high-quality guest experiences.

This role is ideal for candidates with short-term rental or property operations experience who thrive in a fast-paced environment and are proactive. The position offers PHP 50,000 per month plus performance bonuses and benefits including 10 days PTO and healthcare.

Responsibilities

• Manage guest communications across platforms (Airbnb, VRBO, direct bookings).
• Ensure timely, professional responses aligned with brand standards.
• Handle escalated guest issues via phone, email, or messaging.
• Proactively identify and resolve guest service gaps.
• Coordinate guest-related operational requests, including pool heating and accommodations.
• Vendor coordination for cleaning and maintenance.
• Monitor supply inventory and coordinate restocking.
• Ensure listings are accurate across all booking platforms.
• Process guest refunds accurately and promptly.
• Submit and track damage claims with insurance providers.
• Maintain SOP-compliant workflows and listings standards.
• Document guest concerns and resolutions.

Key Responsibilities

• Manage guest communication across platforms (Airbnb, VRBO, direct bookings)
• Ensure timely, professional responses aligned with brand standards
• Handle escalated guest issues via phone, email, or messaging
• Proactively identify and resolve guest service gaps
• Coordinate guest-related operational requests, including:
• Pool heating requests
• Guest special accommodations
• Vendor coordination for cleaning and maintenance
• Monitor supply inventory and coordinate restocking needs
• Ensure listings are accurate and updated across all booking platforms
• Process guest refunds accurately and promptly
• Submit and track damage claims with insurance providers
• Maintain and improve operational workflows and SOP compliance
• Ensure consistent execution of property standards across all listings
• Identify inefficiencies and recommend process improvements
• Uphold high service standards and overall guest experience quality
• Perform administrative support tasks including data entry, tracking, record maintenance, and report updates
• Maintain organized documentation of guest concerns, resolutions, and operational activities
