What is the team looking for? We are seeking an experienced and results-driven Property Engineer to oversee the operations, leasing, facilities management, and administration of commercial properties. The role requires a professional with strong organizational, negotiation, and client relationship management skills who can ensure optimum property performance, maintain building and facilities in top condition, uphold tenant satisfaction, and enhance the overall investment value of the assets.
As an individual contributor with managerial capacity, this role is both hands-on and strategically driven, requiring the ability to lead and coordinate key operational functions, manage service providers, and collaborate closely with tenants and internal departments to ensure all commercial properties under management are well-maintained, compliant, and profitable.
Responsibilities
Property Operations and Maintenance
- Oversee the day-to-day operations of the properties and grounds, ensuring cleanliness, maintenance, and timely repairs through close coordination with the Shared Services teams (Maintenance, Housekeeping, Security, and others).
- Monitor and manage the performance of Shared Services activities within assigned properties to ensure service quality, responsiveness, and adherence to operational standards.
- Coordinate preventive maintenance schedules, facility inspections, and repair activities, ensuring minimal disruption to tenants and business operations.
- Collaborate with Shared Services and vendors on facility improvements and ensure compliance with company policies, safety protocols, and building codes.
- Review reports and service updates from Shared Services, provide performance feedback, and recommend process enhancements to improve efficiency and quality.
- Maintain accurate records of maintenance schedules, inspections, and building-related activities for audit and operational reference.
- Support emergency preparedness and response by coordinating with Security, Safety, and Building Administration teams during drills, incidents, and compliance audits.
Compliance and Continuous Improvement
- Lead and support continuous improvement initiatives within property and facilities management to enhance operational efficiency, service quality, and tenant satisfaction.
- Establish and implement standardized processes, policy guidelines, and documentation (including forms, templates, and work instructions) aligned with company standards and compliance requirements.
- Develop and maintain key governance documents such as the Change Charter & Plan, Validation Plan, Training Plan, Dry Run Report with Sign-Offs, and Release Document to ensure systematic, controlled, and validated implementation of process or system changes.
- Collaborate with the Operations Manager, Shared Services, and Compliance teams to monitor adherence to approved processes, identify improvement opportunities, and ensure compliance with regulatory and corporate standards.
- Track implementation results, evaluate effectiveness, and recommend refinements or corrective actions to drive continuous operational improvement and long-term property performance.
Leasing and Tenant Relations
- Coordinate with tenants and occupants to address concerns, needs, and complaints promptly and professionally.
- Meet potential tenants, conduct property tours, and evaluate lease applications in accordance with fair housing and anti-discrimination laws.
- Prepare, negotiate, and administer lease contracts, including renewals and terminations.
- Advertise vacancies, attract tenants through referrals and promotions, and explain property benefits and services.
- Enforce occupancy rules and policies; handle violations and resolve property-related disputes.
Financial and Administrative Management
- Oversee and ensure the timely collection of rent and other property-related fees in coordination with the Finance team, validating accuracy and completeness of all transactions.
- Monitor and validate all property-related payments such as taxes, insurance premiums, utilities, and maintenance costs to ensure correctness and compliance with budget allocations.
- Analyze property expenses and recommend cost-efficient measures to optimize financial performance.
- Prepare and submit operational and financial reports, including rent collection summaries, expense tracking, occupancy rates, and lease expiration updates.
- Assist in setting rental rates by conducting market surveys, evaluating overhead costs, and aligning with profitability targets.
Minimum Qualifications
- Bachelor’s Degree in Engineering, preferably Mechanical or Electrical Engineering, or a related technical field.
- Licensed Professional Engineer (Mechanical, Electrical, Civil Engineer and/or Architect) or a related field.
- At least 3–5 years of extensive experience in commercial property management, building administration, or facilities operations, preferably handling multi-site or high-value commercial assets.
- Proven capability in budget monitoring, operational reporting, and vendor coordination.
- Strong knowledge of building systems, maintenance planning, safety standards, and local building codes and regulations.
- Ability to design, plot, read, and interpret technical manuals, blueprints, and schematics, and validate Bills of Quantities (BOQ).
- Excellent organizational, coordination, and stakeholder management skills, particularly when working with Shared Services teams and tenants.
Preferred Qualifications
- Exposure to ISO, Six Sigma, or internal audit systems for process improvement.
- Strong project management, communication, and leadership skills with proven negotiation and problem-solving abilities.
- Training/certification in OSH, Basic First Aid, or Fire Safety.
- Possession of a valid driver’s license (DL Code B1/B2) for site mobility.
