Our client is looking for a Staffing Manager to help ensure projects are matched with the right Project Managers and that teams have the resources they need to stay productive. In this role, you'll work closely with Project Managers, Regional Directors, sales teams, and other internal stakeholders to coordinate assignments, monitor workloads, and address staffing needs.
This is a great opportunity for someone who enjoys a fast-paced coordination role where organization, communication, research, and problem-solving come together every day.
Match Projects With the Right People
You'll help determine which Project Manager is best positioned to take on each new assignment.
Your responsibilities will include:
Reviewing new project requests and determining appropriate staffing based on scope, location, timing, and project requirements.
Assigning projects to Project Managers while considering current workloads and business priorities.
Reviewing contracts, project details, client requirements, and other information available in internal systems.
Researching project locations and requirements using tools such as Google Maps, Geotracker, county assessor websites, and previous project reports.
Checking Project Manager calendars, travel schedules, training commitments, planned time off, and geographic availability before making assignments.
Rebalancing assignments when schedules or project requirements change.
Keep Everyone Aligned
Clear communication will be a major part of your day-to-day work.
You'll:
Maintain regular communication with Project Managers regarding workload, scheduling concerns, project delays, support requirements, and individual goals.
Keep Regional Directors informed of staffing situations or other factors that could impact a Project Manager's ability to meet utilization expectations.
Coordinate with Regional Directors when additional training, coaching, or mentoring may benefit a Project Manager.
Work closely with the sales team by providing staffing availability, estimated timelines, project scope information, and resource considerations for potential opportunities.
Help identify potential staffing issues early and communicate them to the appropriate stakeholders.
Support Team Utilization
You'll also play a role in helping Project Managers make the most of their available capacity.
This includes:
Understanding the monthly utilization targets assigned to Project Managers.
Reviewing workloads and assignments to identify whether team members are on track toward their goals.
Using internal utilization or bonus calculation tools when necessary.
Working with Project Managers and Regional Directors to identify opportunities for additional assignments.
Adjusting project distribution when needed to support both business priorities and individual utilization goals.
We're looking for someone who can confidently balance people, priorities, schedules, and business needs.
You may be a strong fit if you have:
Excellent organizational skills and the ability to manage multiple priorities simultaneously.
Strong written and verbal communication skills.
A detail-oriented approach to reviewing project information and identifying staffing requirements.
Good judgment when evaluating availability, workload, qualifications, and project priorities.
Strong research and problem-solving abilities.
Confidence communicating with different levels of an organization, including team members, managers, leadership, and sales personnel.
The ability to work independently while remaining highly collaborative.
A customer-focused mindset and a professional approach to communication.
Comfort working with databases, calendars, spreadsheets, online research tools, and other business applications.
This position offers exposure to several areas of the business, including resource planning, project coordination, operations, sales support, and stakeholder management. You'll have the opportunity to work with different teams, understand how projects move through the organization, and directly contribute to keeping workloads balanced and projects on schedule.
If you're highly organized, enjoy working with people, and like being the person who brings structure to competing priorities, we'd love to hear from you.
