Job Description
We are seeking an experienced, highly motivated and proactive individual to support the project portfolio delivery of Contaminated Land and Water consulting projects across Australia, focusing on the Team Executive (TE) in New South Wales (NSW) and Australian Capital Territory (ACT). This role ensures smooth execution of project management processes, supports project reviews, and maintains operational cadence. The Project Coordinator also assists Key Account Managers (KAM) by preparing and compiling sales, variation, feedback and invoicing data, ensuring effective client portfolio management, and assists the Operations Executive in preparing data to meet the Business Unit’s monthly budget.
This opportunity is ideal for a proactive, systems‑minded coordinator who uses project data to create clear actions, stays calm under pressure, communicates clearly with Team Executives and technical teams, and takes pride in well‑run reviews, tidy trackers and on‑time invoices.
Responsibilities
- Team Executive support:
- Attend project review meetings with the TE to assist with action tracking and follow up.
- Review the project portfolio for red flags and escalates project issues.
- Invoicing support for large client portfolios.
- Review the pipeline portfolio for red flags such as overdue or pending due dates.
- Support initiatives aimed at enhancing service delivery and client experience.
- KAMs:
- Compile reports for client managers, such as win rates, sales and feedback collation and yearly national and global reporting packages.
- Support delivery of exceptional client service by ensuring SLAs and KPIs are met, including gathering safety data and monthly/quarterly trend data.
- Operations Executive:
- Prepare and maintain project, profit and loss (PnL) revenue and budget trackers.
- Assist in achieving days sales outstanding (DSO) targets.
- Prepare reports for Team Executives to provide information and facilitate decision making.
- Contribute to continuous improvement initiatives by identifying process gaps and recommending solutions.
Qualifications (Minimum and Desirable)
- Bachelor’s degree in a relevant discipline.
- 5–10 years’ experience applying coordination or project support skills.
- Working knowledge of project management principles (e.g., PMI framework).
- Strong organisational skills with excellent attention to detail.
- Proven ability to meet deadlines and manage competing priorities in a fast‑paced environment.
- Strong interpersonal and written communication skills.
- Proficiency with Microsoft Word and Excel.
- Experience in a consulting environment and/or PMP certification is an advantage.

Experience, skills and organisational knowledge
- Demonstrated experience supporting project or program delivery across multiple concurrent tasks.
- Ability to interpret and work across various data sources, systems, and trackers with a high level of accuracy.
