The Project Coordinator serves as the central administrative and operational hub of the consulting and training team. This role is responsible for bridging the gap between external Clients, Consultants, and internal management to ensure the seamless execution of organizational projects.
From managing calendars and coordinating travel logistics to compiling progress reports and organizing training events (both virtual and on-site), the Project Coordinator ensures that all milestones are met on time and with high quality. Key Responsibilities
- Serve as the primary point of contact between Clients and Consultants to coordinate, align, and confirm schedules for project phases, consultations, and assessments.
- Schedule and host virtual meetings via Zoom and coordinate all logistics for on-site training sessions, including coordinating materials, setup, and attendance tracking.
- Manage and arrange end-to-end travel logistics for Consultants, including scheduling flights, hotel accommodations, and ground transportation.
- Actively monitor the status and progress of active projects, tracking milestones and following up on pending deliverables from both clients and consultants.
- Prepare and compile Project Accomplishment Reports and status updates for management and client stakeholders to document completed project phases and milestones.
- Maintain organized digital project folders and update shared tracking sheets to keep all team members aligned on project timelines.
Qualifications & Requirements
Education:
- Bachelor of Science in Industrial Engineering (BSIE) — Ideal for applying systems thinking, process mapping, efficiency design, and project management principles.
Experience:
- No prior experience required. Fresh graduates are highly encouraged to apply. We are fully prepared to train the right candidate on our internal processes and industry-specific standards.
Technical Skills:
- Proficient in video conferencing platforms, specifically Zoom (scheduling, hosting, and managing meetings).
- Strong familiarity with productivity tools, including Google Workspace (Sheets, Docs) or Microsoft Office (Excel, Word) for tracking and reporting.
