The Project ControlsCoordinator provides coordination and analytical support to the PMO inmonitoring and controlling project performance across schedule, progress,cost, risk, and project reporting.
The role supports theimplementation of project controls processes and ensures that projectinformation from engineering, procurement, construction, contractors, and otherproject teams is accurately consolidated, tracked, and reported tosupport timely management decisions.
The position will workclosely with Project Controls, Engineering, Procurement, Construction,Commercial, and other project stakeholders to maintain reliable project data,monitor key project performance indicators, and support the PMO in identifyingissues, risks, and potential delays.
THE ROLE
Project ControlsCoordination
- Coordinate the collection, consolidation, andvalidation of project controls information from various project teams andcontractors.
- Maintain project controls trackers, dashboards,registers, and reporting databases.
- Monitor project performance against approvedschedules, milestones, and key project targets.
- Coordinate with discipline teams to ensure timelysubmission of project controls data and updates.
- Follow up on outstanding information, deliverables,and actions required for PMO reporting.
- Support the PMO in maintaining consistent projectcontrols processes and reporting standards.
Schedule and ProgressMonitoring
- Support the development, updating, and monitoringof project schedules in coordination with the Planning/Scheduling team.
- Track actual progress against planned progress andidentify areas of slippage.
- Consolidate progress updates from engineering,procurement, construction, and other workstreams.
- Support the preparation of weekly and monthlyproject progress reports.
- Assist in identifying schedule risks, criticalactivities, and potential delays.
- Support the development and monitoring of recoveryactions and mitigation plans.
Project Reporting and PMOSupport
- Prepare and consolidate PMO reports, dashboards,presentations, and management updates.
- Maintain project performance indicators and providetimely updates on project status.
- Support the preparation of Executive/Managementreports highlighting key progress, issues, risks, and required actions.
- Coordinate inputs for project review meetings andmanagement forums.
- Prepare meeting agendas, minutes, action trackers,and follow up on commitments.
- Ensure consistency andaccuracy of project information presented to management.
Risk, Issues, and ActionTracking
- Maintain and coordinate updates to the Project RiskRegister, Issues Register, and Action Tracker.
- Follow up with responsible stakeholders onmitigation actions and overdue items.
- Monitor emerging risks and issues and elevateitems requiring PMO or management attention.
- Support risk and project controls workshops asrequired.
- Track the implementation and effectiveness ofmitigation and recovery actions.
Project Controls Data andDocumentation
- Maintain organized project controls records,reports, trackers, and supporting documentation.
- Validate project data for completeness,consistency, and accuracy before inclusion in reports.
- Coordinate with Document Control to ensureappropriate filing and version control of project controls information.
- Support the development and improvement of projectcontrols templates, reporting tools, and processes.
PMO Coordination
- Support the PMO in coordinating activities acrossEngineering, Procurement, Construction, Commercial, HSE, and other projectfunctions.
- Assist in monitoring key project interfaces anddependencies between workstreams.
- Support project governance activities, reportingcycles, and PMO requirements.
- Identify gaps in project information and coordinatewith relevant teams to obtain the required data.
- Provide general project controls and coordinationsupport to the PMO Lead and Project Management team.
Requirements
- Bachelor's Degree in Engineering, ConstructionManagement, Project Management, or a related discipline.
- Minimum 10 years of experience in projectcontrols, project coordination, planning, scheduling, project management, orPMO functions.
- Experience in large-scale engineering,construction, infrastructure, energy, hydropower, oil & gas, or industrialprojects preferred.
- Experience working in a PMO or Project Controlsenvironment is highly desirable.
- Good understanding of project controlsprinciples and project execution processes.
- Knowledge of planning, scheduling, progressmeasurement, reporting, risk, and project performance monitoring.
- Experience coordinating across multidisciplinaryproject teams and contractors.
- Familiarity with Primavera P6, MicrosoftProject, Power BI, or equivalent project controls tools is an advantage.
