About the role
The Procurement Officer plays an active role in vendor management, strategic sourcing, contract management, and ensuring compliance with procurement policies and ethical standards. The role entails the task of negotiating prices and terms, the collection of information for supplier evaluation and accreditation, and relationship management with suppliers. Additionally, you will be responsible for conducting market research, evaluating purchase requests, and providing recommendations to the Procurement Manager for efficient and cost-effective procurement.
The role also involves evaluating quotations and proposals, coordinating sourcing and bidding activities, monitoring supplier performance, and managing assigned procurement transactions from approved Purchase Request through Purchase Order issuance, delivery, and completion of required documentation. The Procurement Officer is expected to exercise sound commercial judgment within delegated authority, ensure compliance with applicable approval requirements and procurement procedures, and escape material issues or matters beyond delegated authority to the Procurement Supervisor or Procurement Manager.
Key responsibilities
- Maintains vendor relationships – ensuring effective communication and collaboration.
- Sources providers for purchase requests and creates a comparative canvass for objective review of requesting party/end user and Procurement Management.
- Coordinates and leads assigned strategic sourcing activities to optimize supplier selection, commercial terms, and cost-efficiency.
- Coordinates and manages the bidding process for assigned requisitions, in accordance with established procurement procedures and approval requirements.
- Evaluates supplier capabilities, quotations, commercial terms, delivery commitments, and other relevant requirements, and provides recommendations based on objective and documented criteria.
- Handles the negotiation of contracts with the guidance of the Procurement Supervisor and Procurement Manager – ensuring commercially appropriate and compliant terms for the organization.
- Maintains and analyzes supplier performance records and monitoring tools.
- Ensures compliance with procurement policies, regulations, laws, and ethical standards.
- Conducts market research to stay informed about suppliers, industry trends, and best practices – providing an organized recommendation to Procurement Management.
- Manages assigned procurement transactions from approved Purchase Requisition through sourcing, evaluation, approval, Purchase Order issuance, delivery and completion of required procurement documentation.
About you
- Bachelor's degree in Business Administration, Finance, Supply Chain, Engineering, Strategic Sourcing or any related field.
- At least 2 years of proven experience in procurement, purchasing, supply chain, sourcing, or a similar role.
- Strong background in Accounting, Financial Analysis and commercial evaluation.
- Proven knowledge and experience in reviewing and negotiating service contracts and commercial terms for various third-party providers.
- In-depth knowledge of supplier evaluation, sourcing methods, bidding processes, and procurement documentation.
- Proficiency in using procurement software and tools.
- Strong negotiation skills and ability to build and maintain professional supplier relationships.
- Excellent interpersonal and conflict resolution skills.
- High-level analytical, evaluation, and problem-solving skills, with the ability to use data and commercial information to support procurement decisions and recommendations.
- Strong organizational and coordination skills, with the ability to manage multiple procurement activities, priorities, and timelines.
