Job summary

MicroSourcing is seeking a Procurement and Vendor Management Specialist to lead vendor onboarding, record management, and day-to-day procurement operations. The role focuses on onboarding new vendors, maintaining vendor data, and resolving issues across NetSuite and Coupa, reporting to the VP of Procurement.

You will collaborate with Accounting and internal stakeholders, ensuring data accuracy, compliance, and timely onboarding while enabling efficient P2P processes and system integrations.

Qualifications

• Hands-on experience with Coupa and NetSuite and understanding of how supplier/vendor records flow between systems.
• Experience with supplier onboarding and supplier record maintenance.
• Familiar with CSP and SIM and troubleshooting system integrations.

Responsibilities

Your Role

We are seeking a detail-oriented and process-driven Procurement and Vendor Management Specialist to manage supplier onboarding and support day-to-day procurement operations. This role will focus on vendor onboarding, vendor record management, and troubleshooting across NetSuite and Coupa. This role will report to the VP, Procurement and work closely with Accounting, internal stakeholders, and suppliers.

Key Responsibilities

Vendor Onboarding & Vendor Record Management:

• Manage the end-to-end onboarding of new vendors, ensuring accurate and timely setup while maintaining compliance with company policies and data requirements.
• Perform the current vendor onboarding process of manually creating vendors in NetSuite that sync to Coupa.
• Manage vendor record changes in Coupa and Netsuite and validate bank account changes.
• Support the automated vendor onboarding through the Coupa Supplier Portal (CSP).
• Troubleshoot vendor onboarding and integration issues, i.e. script errors, between NetSuite and Coupa.
• As the vendor onboarding process changes, support and oversee the new full onboarding lifecycle.
• Serve as a primary point of contact for suppliers and internal stakeholders throughout the onboarding process, addressing questions, resolving issues, and providing guidance as needed.
• Partner with Procurement, Accounting, and technical resources to identify onboarding issues and support improvements, integrations, controls, and data quality.

Procurement Operations

• Manage day-to-day procurement operations in Coupa by monitoring purchase order activities and troubleshooting system or process issues as needed.
• Perform Coupa admin responsibilities such as P2P user enablement, supplier catalog management, and purchase order issue resolution.
• Provide P2P user support, address purchase order process questions, and ensure established procurement processes are followed.

Qualifications

• Hands-on experience with Coupa and NetSuite, with a strong understanding of how supplier/vendor records and procurement transactions flow between systems.
• Experience with supplier onboarding and supplier record maintenance.
• Working knowledge of Coupa Supplier Portal (CSP) and Supplier Information Management (SIM).
• Experience troubleshooting system integrations issues and script errors.
• Strong organizational, analytical, and problem-solving skills with exceptional attention to detail and data accuracy.
• Ability to manage a high volume of vendor onboarding activity and multiple priorities in a fast-paced environment.
• Excellent communication and interpersonal skills, with the ability to support both internal users and external suppliers.
• Experience with Microsoft 365 applications, including Excel.
