Qualifications

• Bachelor's Degree in Accountancy, Accounting Technology, Financial Management, Business Management, or a related business course.
• At least 1 year of experience in Disbursement, Accounting, Finance, Treasury, Accounts Payable, or a related role.
• Knowledge of basic accounting and disbursement processes.
• Experience in preparing checks, processing payments, and handling financial documents.
• Familiarity with BIR Form 2307 and withholding tax documentation is preferred.
• Proficient in Microsoft Excel.
• Strong organizational and documentation skills.
• Familiarity with accounting systems such as QuickBooks is an advantage.
• Knowledge of BIR requirements and basic financial controls is an advantage.

Responsibilities

• Process approved payment requests accurately and on time.
• Review payment documents for completeness, accuracy, and proper approval.
• Prepare cash, check, and other authorized payment transactions.
• Coordinate with concerned departments regarding incomplete or pending payment requirements.
• Ensure proper documentation and acknowledgment of released payments.
• Prepare checks for approved company payments.
• Monitor outstanding, unreleased, released, and cancelled checks.
• Coordinate check signing and release based on the Company's approval process.
• Maintain accurate records of check issuance and release.
• Ensure proper safekeeping of checks and related financial documents.
• Maintain complete and updated disbursement records.
• Organize payment vouchers, receipts, acknowledgment documents, and supporting records.
• Monitor scheduled and due payments to help avoid delays.
• Track pending payments and follow up on required documents when necessary.
• Assist in reconciling disbursement records with accounting reports.
• Prepare and release BIR Form 2307 to suppliers accurately and on time.
• Verify withholding tax details against payment records and supporting documents.
• Maintain complete and organized records of issued BIR Form 2307.
• Coordinate with Accounting and suppliers regarding corrections, missing information, or tax-related concerns.
• Support compliance with applicable BIR documentation and withholding tax requirements.
• Handle authorized cash disbursements in accordance with Company procedures.
• Ensure proper documentation and accountability for funds released.
• Assist in monitoring cash requirements for scheduled payments.
• Maintain confidentiality and proper control when handling Company funds.
• Follow established approval limits, disbursement procedures, and internal controls.
• Ensure that payments are supported by complete and properly authorized documents.
• Assist in maintaining accurate records for audit and financial reporting purposes.
• Identify payment discrepancies or missing documents before processing.
• Maintain confidentiality and integrity when handling financial information.
