Your Role And Responsibilities

The Preboarding Coordinator (RPO) you will be responsible for ensuring a seamless transition for candidates from offer acceptance through their first day of employment. You will serve as the primary point of contact for candidates, coordinating onboarding requirements, compliance activities, and stakeholder communications to deliver an exceptional candidate experience while ensuring readiness for day one.

Key Responsibilities

• Serve as the primary point of contact for candidates from offer acceptance until Day 1 onboarding.
• Manage the end-to-end preboarding process, ensuring all onboarding milestones are completed accurately and on time.
• Coordinate and monitor background checks and drug screening activities, partnering with vendors and internal stakeholders to ensure timely completion.
• Guide candidates through pre-employment requirements and onboarding processes.
• Track and follow up on Workday onboarding tasks to ensure completion within established timelines.
• Conduct welcome calls and provide regular status updates regarding onboarding milestones and pending requirements.
• Perform preboarding and onboarding administration, including the distribution of onboarding materials and resources to new hires.
• Monitor and follow up on I-9 completion and other compliance-related documentation requirements.
• Resolve onboarding-related cases and inquiries through ServiceNow, ensuring timely and accurate resolution.
• Partner with recruiters, hiring managers, onboarding teams, and support functions to drive a seamless onboarding experience.
• Provide white-glove onboarding support for designated Primary Care and other critical roles, ensuring a high-touch candidate experience.
• Track candidate progress and proactively engage candidates to prevent onboarding delays and start date risks.
• Escalate issues that may impact candidate readiness or start dates.
• Maintain accurate candidate records and onboarding trackers.
• Generate onboarding status reports and provide updates to stakeholders as needed.
• Support continuous improvement initiatives that enhance onboarding effectiveness and candidate experience.

Required Technical And Professional Expertise

• 2+ years’ in Onboarding, Recruitment Coordination, Talent Acquisition Operations, Human Resources, or a related field.
• 2+ years’ Experience supporting candidate onboarding and pre-employment processes.
• Experience supporting candidate onboarding and pre-employment processes.
• Experience coordinating background checks, drug screenings, and compliance requirements.
• Familiarity with HR systems, ATS platforms, Workday, or similar onboarding technologies.
• Experience managing candidate communications and stakeholder coordination.

Preferred Technical And Professional Experience

• Experience in Human Resources and/or Staffing
• Experience working with global or enterprise-level recruitment teams.
• Recruitment Process Outsourcing (RPO) experience is a plus
