KEY RESPONSIBILITIES:
Project Coordination & Delivery Support
- Coordinate project schedules, milestones, actions and dependencies across assigned projects, keeping plans current and accurate.
- Prepare and maintain project documentation including project plans, status reports, registers, meeting agendas and minutes.
- Track project deliverables and follow up with delivery teams to ensure commitments are met within agreed timeframes.
- Coordinate project meetings, workshops and governance forums, including logistics, materials and follow-up actions.
- Support project management administrative tasks.
Governance, Risk & Reporting
- Maintain risk, issue, decision and change registers, escalating items to the entire Project Management team as required.
- Prepare accurate and timely project status reporting for project sponsors, steering groups and the IT leadership team.
- Ensure projects comply with Symbos project management methodology, governance gates and record-keeping standards.
- Assist with tracking project budgets, purchase orders, invoices and vendor documentation.
Stakeholder & Vendor Coordination
- Act as a central point of contact for project information, requests and enquiries from internal stakeholders.
- Coordinate communication between business stakeholders, technical teams and external vendors to keep all parties informed.
- Support change and readiness activities, including preparation of communications, training materials and go-live checklists.
Continuous Improvement
- Identify and recommend improvements to project processes, templates and tools.
- Contribute to post-implementation reviews and capture lessons learned for future projects.

- Stay current with industry trends and tools relevant to the business.

Accountabilities
- Accurate, current and accessible project documentation, plans and registers across the assigned portfolio.
- Timely and reliable project reporting that gives sponsors and the IT leadership team a clear view of progress, risks and issues.
- Effective coordination of project activities so that milestones and deliverables are met within agreed scope, time and budget.
- Compliance with Symbos project governance, procurement and record-keeping requirements.
- Strong stakeholder relationships and clear, consistent communication throughout the project lifecycle.
KNOWLEDGE
Experience: Demonstrated experience in a project coordination of at least 2 years, project administration or project support role, ideally within an IT or technology delivery environment. Experience maintaining project documentation, registers and reporting, and working with both waterfall and agile delivery approaches.
Capabilities:
Strong organisational and time management skills with the ability to manage competing priorities; excellent written and verbal communication; high attention to detail; confident use of project and collaboration tools (e.g. Microsoft Project, Jira, Azure DevOps, Microsoft 365); sound problem solving and a collaborative, service-oriented approach.
