Job summary

Brainbox in Pampanga, Philippines, is hiring an Admin Assistant to own the end-to-end publishing pipeline for our podcast client, ensuring episodes ship on time and are properly filed and promoted.

You’ll work directly with the client’s Director, handle show notes, transcripts, thumbnails, and blog posts, and manage the asset library and project progress in ClickUp. The role is onsite with ongoing training and benefits.

Qualifications

• 1+ year experience in podcast publishing or content coordination
• Strong written English for public-facing copy
• Hands-on YouTube Studio experience with real channels/shows
• Regular WordPress publishing and scheduling experience
• Attention to detail and ability to follow branding voice

Responsibilities

• Upload and schedule full episodes to YouTube, Spotify, and other platforms
• Publish shorts and clips linked to source episodes
• Write and format show notes, titles and descriptions, upload thumbnails
• Add chapters to YouTube/Spotify and include in show notes
• Generate and clean up episode transcripts
• Ensure editor files are uploaded before publishing queue
• Audit editor deliverables against publishing checklist
• Organise and back up all files per client folder structure
• Build and maintain the asset library from editor assets and B-roll
• Track progress in ClickUp and coordinate with editors
• Write, format and schedule WordPress blog posts
• Optimize posts for search with meta descriptions and links
• Conduct keyword research for titles, tags and descriptions
• Schedule marketing and social content
• Repurpose episodes into newsletter
• Source stock footage and design visuals in Canva
• Collaborate with client for an Australian-based project
