Job summary

MicroSourcing in Cagayan de Oro is seeking an Order Processing Assistant to support sales operations from the SM Downtown site. You will monitor a dedicated inbox, enter customer details and orders into the CRM, and coordinate invoicing with Accounting.

You will maintain accurate records, track shipments, acknowledge receipts, escalate inquiries, and collaborate with sales, accounting, and customer service during the night shift onsite.

Qualifications

• Demonstrated accuracy and attention to detail in high-volume data entry.
• Proficiency with CRM platforms; Salesforce or HubSpot is a plus.
• Strong written English for order confirmations and internal communication.
• Moderate spreadsheet skills with formulas and multiple tabs.
• Ability to work independently during a fixed overnight schedule aligned with US hours.
• Reliable internet and a quiet home-office setup or serviced office space.
• Excellent organizational skills and ability to follow defined processes.

Responsibilities

• Monitor a dedicated email inbox for incoming sales orders.
• Enter customer details, items, quantities, pricing, and terms into the CRM.
• Submit invoice requests to Accounting per workflows.
• Record and update shipment details in tracking spreadsheets.
• Confirm order receipt and entry with the submitting sales rep.
• For direct customer orders, send an acknowledgment with ship date.
• Escalate customer inquiries to Customer Service Team Lead.
• Flag incomplete or unclear orders to sales reps for clarification.
• Maintain records across CRM, invoicing, and shipment tracking.
• Monitor order backlogs and escalate risks to the supervisor.
• Participate in shift rotation and coverage as scheduled.

Your Role

As a Order Processing Assistant, you will:

• Monitor a dedicated email inbox for incoming sales orders submitted by company sales representatives.
• Accurately enter customer details, items, quantities, pricing, and terms into the company's CRM system.
• Submit invoice requests to the Accounting team for each processed order according to established workflows.
• Record and update shipment details in designated tracking spreadsheets as information becomes available.
• Confirm order receipt and entry with the submitting sales representative.
• For orders received directly from customers, send a brief acknowledgment confirming receipt and the expected ship date, whether same-day or next-day, depending on the order's arrival time.
• Escalate any additional customer inquiries, concerns, or replies to the Customer Service Team Lead without engaging in further customer correspondence.
• Flag incomplete, unclear, or inconsistent orders to the appropriate sales representative or manager for clarification before processing.
• Maintain accurate and consistent records across the CRM, invoicing requests, and shipment tracking files.
• Monitor order backlogs, identify discrepancies or system issues, and promptly escalation risks to the supervisor.
• Participate in the team's shift rotation and provide coverage in line with scheduled hours.

What You Need

Non-negotiables

• Demonstrated accuracy and strong attention to detail in high-volume data entry or administrative work.
• Proficiency with CRM platforms; experience with Salesforce, HubSpot, or similar systems is an advantage.
• Strong written English skills for professional order confirmations and internal communication.
• Moderate spreadsheet proficiency, including formulas, sorting, filtering, and managing multi-tab workbooks in Excel or Google Sheets.
• Ability to work independently during a fixed overnight schedule aligned with US business hours.
• Reliable high-speed internet and a quiet, suitable home-office setup, or willingness to work from a serviced office space.
• Strong organizational skills and the ability to follow established processes while managing competing priorities.

Preferred Skills/expertise

• Previous experience in sales order processing, order management, sales operations, or back-office administrative support.
• Experience working remotely for a US-based or other international employer.
• Familiarity with CRM systems, invoicing workflows, and shipment tracking processes.
• Ability to identify order discrepancies and upscale issues promptly.
• Comfortable working independently while coordinating with sales, accounting, customer service, and management teams.
