Job summary

MicroSourcing is seeking a Sales Order Processing Specialist for onsite night shifts at SM Downtown, Cagayan De Oro City. You will manage incoming orders, accurately enter data into the CRM, and coordinate invoicing with Accounting.

You’ll also track shipments, acknowledge receipts to customers, and escalate issues when needed. The role requires attention to detail, CRM experience (Salesforce/HubSpot a plus), solid English communication, and the ability to work overnight aligned to US business

Qualifications

• Proven accuracy in high-volume data entry or administrative work.
• Experience with CRM platforms; Salesforce/HubSpot is a plus.
• Strong written English for professional confirmations and internal communications.
• Proficient in Excel/Google Sheets with multi-tab workbooks.

Responsibilities

• Monitor a dedicated email inbox for incoming sales orders submitted by company sales representatives.
• Enter customer details, items, quantities, pricing, and terms into the CRM system.
• Submit invoice requests to Accounting for each processed order.
• Record and update shipment details in tracking spreadsheets as information becomes available.
• Confirm order receipt and entry with the submitting sales representative.
• For orders from customers, send acknowledgment with expected ship date (same-day or next-day).
• Escalate inquiries to Customer Service Team Lead as needed.
• Flag incomplete or unclear orders for clarification before processing.
• Maintain accurate records across CRM, invoicing, and shipment tracking files.
• Monitor order backlogs, identify discrepancies, and elevate risks to supervisor.
• Participate in shift rotation and provide coverage per schedule.

Your Role

As a Sales Order Processing Specialist, you will:

• Monitor a dedicated email inbox for incoming sales orders submitted by company sales representatives.
• Accurately enter customer details, items, quantities, pricing, and terms into the company's CRM system.
• Submit invoice requests to the Accounting team for each processed order according to established workflows.
• Record and update shipment details in designated tracking spreadsheets as information becomes available.
• Confirm order receipt and entry with the submitting sales representative.
• For orders received directly from customers, send a brief acknowledgment confirming receipt and the expected ship date, whether same-day or next-day, depending on the order's arrival time.
• Escalate any additional customer inquiries, concerns, or replies to the Customer Service Team Lead without engaging in further customer correspondence.
• Flag incomplete, unclear, or inconsistent orders to the appropriate sales representative or manager for clarification before processing.
• Maintain accurate and consistent records across the CRM, invoicing requests, and shipment tracking files.
• Monitor order backlogs, identify discrepancies or system issues, and promptly elevate risks to the supervisor.
• Participate in the team's shift rotation and provide coverage in line with scheduled hours.

What You Need

Non-negotiables

• Demonstrated accuracy and strong attention to detail in high-volume data entry or administrative work.
• Proficiency with CRM platforms; experience with Salesforce, HubSpot, or similar systems is an advantage.
• Strong written English skills for professional order confirmations and internal communication.
• Moderate spreadsheet proficiency, including formulas, sorting, filtering, and managing multi-tab workbooks in Excel or Google Sheets.
• Ability to work independently during a fixed overnight schedule aligned with US business hours.
• Reliable high-speed internet and a quiet, suitable home-office setup, or willingness to work from a serviced office space.
• Strong organizational skills and the ability to follow established processes while managing competing priorities.

Preferred Skills/expertise

• Previous experience in sales order processing, order management, sales operations, or back-office administrative support.
• Experience working remotely for a US-based or other international employer.
• Familiarity with CRM systems, invoicing workflows, and shipment tracking processes.
• Ability to identify order discrepancies and elevate issues promptly.
• Comfortable working independently while coordinating with sales, accounting, customer service, and management teams.
