Role Purpose
The Operations Support and Improvement Analyst provides analytical and coordination support across operational improvement, reporting, testing and risk-related activities.
The role works with Operations, Technology, Risk, and other stakeholders to analyse information and maintain reporting. It also details processes, coordinates agreed initiatives, and carries out defined activities related to operational assistance and control. The position supports those responsible for initiatives and subject-matter experts rather than independently leading large-scale change or transformation programmes.
What the day will look like
Operational analysis and reporting
- Gather, validate and analyse operational data to identify trends, exceptions, recurring issues and opportunities for improvement.
- Build and maintain dashboards, reports and supporting analysis for operational decision-making.
- Support the translation of business requirements into reports, data models, formulas and repeatable analysis.
- Monitor agreed operational measures and prepare clear summaries.
- Raise material data-quality issues, control exceptions or emerging risks to the appropriate owner.
- Support the analysis and documentation of operational processes, difficulties and improvement opportunities.
- Assist with process mapping, data gathering, root-cause analysis and the preparation of improvement recommendations.
- Coordinate defined improvement activities under the direction of the accountable business or initiative owner.
- Maintain action plans, achievement tracking, risks, decisions and supporting documentation.
- Support the development and maintenance of continuous improvement templates, tools, procedures and knowledge resources.
- Contribute to smaller-scale process improvements within an agreed scope, calling out decisions or material changes where required.
- Work with Technology and Business partners to find opportunities to improve system use, reduce manual workarounds and simplify processes.
Testing and implementation support
- Coordinate and undertake testing activities for operational, process and system changes.
- Prepare test scenarios and scripts with input from business and technology subject-matter experts.
- Record test outcomes, defects and outstanding actions, and coordinate follow-up with the designated owners.
- Support implementation readiness activities, including documentation, communications, training coordination and readiness tracking.
- Gather feedback and operational information following implementation to support review and continuous improvement.
Risk and operational control support
- Complete defined risk management and operational oversight activities in accordance with established procedures, templates and critical issue requirements.
- Review reports and records to identify upcoming expiries, missing information or required follow-up.
- Validate relevant client or operational information against approved internal or external sources.
- Complete approved record updates, standard file notes and stakeholder notifications.
- Maintain accurate records and evidence of activities completed.
- Support routine access maintenance, contact-list updates and other assigned operational control activities.
- Bring up exceptions, uncertainties, or topics that require explanation, approval, or professional judgement to the relevant Risk or business owner.
Coordination and stakeholder support
- Coordinate meetings, actions, information requests and follow-ups across Operations, Technology, Risk and other stakeholders.
- Prepare working papers, analysis, status updates and presentation material for review by accountable owners.
- Maintain clear records of actions, decisions, dependencies and outstanding issues.
- Communicate progress and exceptions clearly, and raise matters requiring decisions or intervention.
- Build constructive working relationships and collaborate effectively with stakeholders across locations and time zones.
Role scope and accountability
- The role may independently deliver defined analytical, reporting, testing, operational support and coordination activities within established procedures and agreed parameters.
- Accountability for business strategy, major transformation delivery, material risk decisions, governance design, benefits realisation and approval of operational changes remains with the relevant business, project or functional owner.
- Matters requiring interpretation, risk acceptance, policy decisions, or informed discretion are brought up to the appropriate Risk or business owner.
Skills and experience that will lead to success
- Relevant experience in business operations, operational analysis, reporting, risk support, process improvement or project coordination (3-5 years, preferably).
- Strong analytical capability, including experience interpreting datasets, identifying trends and exceptions, and presenting clear findings.
- Proficiency in Excel.
- Experience using Power BI or similar reporting and visualisation tools would be beneficial.
- Experience preparing and maintaining operational dashboards, reports and tracking tools.
- Experience supporting process mapping, root-cause analysis or continuous improvement activities.
- Experience coordinating testing, recording defects or supporting the implementation of operational or technology changes.
- Ability to follow documented procedures accurately while recognising and calling out exceptions.
- Strong attention to detail and a consistent approach to record keeping and quality assurance.
- Ability to organise multiple activities, maintain action tracking and follow through on agreed commitments.
- Clear written and verbal communication skills, including the ability to prepare concise updates and work effectively with remote stakeholders.
- Ability to work independently within defined parameters and seek guidance where judgement, approval or material decisions are required.
- Experience in insurance, financial services, banking, risk, compliance or shared-services operations would be advantageous.
- Experience supporting regional or global initiatives would be an advantage.
- Relevant tertiary qualification in business, operations, information technology or a related field, or equivalent practical experience, is helpful.
